SAP S/4 Hana public Expected Delivery Notification Alert for a Requestor

Hi All,

I need some advice regarding a customer requirement on SAP S/4 Hana public. They would like the requestor to receive a notification about the expected delivery date for an item that is due to arrive. Additionally, if no receipt has been made after a certain period, a follow-up notification should be sent.

We have tried testing the situations handling procurement templates, but so far, it hasn't worked as expected, and we haven't received any notifications.

If anyone has experience with this and can share the configuration process to meet this requirement, I would greatly appreciate it.

Thank you!

Regards

Matsie

Hello,

Thank you very much for your question and sorry for the late reply.

Can you please check whether the following information (GenAI was used to help generate this content) is helpful for you?

To meet the requirement of notifying the requestor about the expected delivery date and sending a follow-up notification if no receipt is made, you can utilize the Situation Handling framework in SAP S/4HANA Cloud. Here is a step-by-step guide to configure this:

Step 1: Configure Situation Handling

  1. Access the Manage Situation Types App: This app allows you to create and manage situation types.

  2. Create a Situation Type: Use the template ‘Approaching Delivery Date of Centrally Managed Purchase Requisitions’ Approaching Delivery Date of Centrally Managed Purchase Requisitions to notify about the delivery date. This template checks for centrally managed purchase requisition items whose delivery dates are approaching.

  3. Set Conditions: Define the conditions under which the notification should be sent. For example, set the number of days before the delivery date when the notification should be triggered.

  4. Define Recipients: Ensure that the notification is sent to the requestor. You can use responsibility rules or team assignments to determine the recipients.

Step 2: Configure Follow-up Notification

  1. Use the ‘Confirmation Overdue for PR Item’ Confirmation Overdue for PR Item Template: This template can be used to send a follow-up notification if the receipt of goods has not been confirmed after a certain period.

  2. Set Overdue Conditions: Configure the number of days after the scheduled delivery date when the follow-up notification should be triggered.

  3. Ensure Notification Settings: Verify that the notification settings are enabled for both the initial and follow-up notifications.

Troubleshooting

  • Check Situation Instances: Use the ‘Monitor Situations’ app to check if situation instances are being created.
  • Verify Recipient Configuration: Ensure that the recipients are correctly configured and registered as business partners.
  • Review Notification Settings: Confirm that email notifications are set up correctly and that the email domain is allowed.

By following these steps, you should be able to configure the notifications as required.

Kind regards,

Henrike
