Held documents posted in the workbench

Dear experts I'm facing the following challenge:

We activated via EP2 held documents for manual postings in BCS. This is done for two reasons:

1. for the consolidation team to continue working on a document which was not finalized

2. to be able to work with the new workflow functionality, which means that postings from the consolidation team need to be approved by the consolidation unit

In the case a held document is created, it appaers in the consolidation workbench under held documents. It appaers there in the form of a document number.

When a consolidation unit now needs to approve a held document the authorizations check if the consolidation unit user has authorization for the workbench (UCWB). But in fact we do not want to grant these users authorization to the workbench.

Has anyone else seen this before? And how to deal with it? Also strange that all held document numbers become visbile in the customizing, no?

Thanks for the reply. To comment on your sugestions.

1. Indeed there is nothing to be done in the workbench, documents are created from ucmon and approved via the sap business workplace.

2. Indeed in the workbench held documents are only shown for information purposes.

3. The error message we received when creating a held document in the conso monitor was that the workbench was not modifiable and then we got a dump. We have now found a note from SAP, it was a program error.

it is really strange. When a workflow is triggered and as such a held document is created it is also created in the workbench under "Documents requires approval". Once it is finally approved it disappears from the workbench.

The problem now is that for creating such a document the user needs

1. authorization to the workbench

and 2. the workbench needs to be modifiable, which we can obviously not allow in a quality or productive environment.

Anyone who knows this problem?

- there is nothing strange to me. Info seen in UCWB, AFAIK, is given just for information, not for some actions with it.

How did you triggered workflow? From UCWB? And approved also from UCWB?

- AFAIK, nothing like that is needed. Workflow trigerred when a user saves a manual document (with a workflow attached) in the monitor (saving causes the held document creation). Then an approving agent receives the appropriate mesage in the SAP Workplace. WHen he agrees with the notification for approval, the held document is posted.

There is nothing to be done in UCWB!

Hi Ewald,

AFAIK, the held documents on manual entries embedded in workflow functionality approved by the auhorized users when workflow started a message to them (UCMON & SAP workplace).

I thought that the held documents that are seen in UCWB cannot be approved by any means from UCWB. Am I wrong? Could you try to approve it?
