In this blog post, you will learn what are the recommended approaches to delete planning objects in SAP IBP. There are several methods to delete planning objects as listed below. Depending on the use case and functional requirement, you can choose appropriate method.
1. From Master Data Type
2. Delete Planning Object from Excel UI + Copy Operator with CLEAR_KF_VALUES
3. Purge Key Figure Data application job
Prior planning objects deletion make sure the relevant planning data i.e. key figure data associated with that planning object has been deleted (applicable for stored key figures). In some cases, planners may need to retain the planning data in obsolete planning object and realign it with new objects. In such cases, data realignment functionality in SAP IBP can be used to delete obsolete planning object and align data with new planning object.
Let’s discuss each method in detail.
1. From Master Data Type
Recommended for: This method can be used when all records in relevant compound master data types, other associated master data types and planning data needs to be deleted.
Example: A product is discontinued, and planners want to delete all relevant master data records associated with that product and planning data in one-shot, planners can delete this product from product MDT. All data including planning objects would be deleted for key figures which has root attribute of planning level fetched from Product MDT. In this case, deleting product ID record from product MDT will delete relevant records from Customer Product, Location Product, Production Source Header (if linked using attribute checks) et al and all associated planning objects.
Custom Configuration: Not required
How it works: A record from product MDT, for example, can be removed by
1. Uploading that record in Data Integration Jobs in deletion mode
2. Using deletion interface
3. Master Data Workbook in Excel UI
Important Considerations: This method deletes all relevant records and planning objects. This approach won’t work in cases where selective planning object deletion is required. For example, the product is discontinued for a specific geography and planning is still relevant for other geographies.
2. Delete Planning Object from Excel UI + Copy Operator with CLEAR_KF_VALUES
Recommended for: This method can be used when a specific planning object needs to be deleted and mass planning object deletion is not required.
Example: A product is no longer sold to a customer and planning is not required for this specific product location customer combination.
Custom Configuration: Configure a Copy operator with CLEAR_KF_VALUES parameter and mention all stored target key figures with duration and period offset to cover past and future periods for which planning data may exist.
How it works:
1. Run the copy operator with CLEAR_KF_VALUES. Make sure no planning data is stored in the planning object which is being deleted.
2. Click on New Planning Object dropdown and select Delete Planning Object option.
3. Enter relevant records of the planning objects to be deleted. Click on Delete.Important Considerations: If the planning view shows data at aggregated level and planning object deletion is performed on this planning view, the records will be deleted at lowest level. This can result in deletion of planning objects which are still relevant. Avoid data deletion at aggregated level so that unwanted combination doesn’t get deleted.
Important Considerations: If the planning view shows data at aggregated level and planning object deletion is performed on this planning view, the records will be deleted at the lowest level. This can result in deletion of planning objects which are still relevant for business. Avoid data deletion at aggregated level so that valid combination doesn’t get deleted.
3. Purge Key Figure Data application job
Recommended for: This method can be used for selective as well as for mass planning object deletion. Before actual deletion, the data can also be viewed and statistics like number of planning objects to be deleted, key figure data et al can be gathered.
Example: The resource is no longer used and should not be considered in any planning process. Planners can delete data and planning objects associated with this resource from SAP IBP.
Custom Configuration: Not required
How it works:
1. Enter all relevant details in Purge Key Figure Data application job as follows:
2. Run the job and check planning objects statistics in application logs.
3. Run the application job again by unchecking Simulate box to delete planning objects permanently from the system.
Important Considerations: Mention all planning levels at which the data is stored. Data can be deleted for the entire planning horizon by mentioning a large negative number in Period Offset field. Make sure to apply planning filter to restrict data deletion to required combination only. Otherwise, all records will be deleted associated with the entered planning levels.
Let’s discuss the special case of data realignment.
Consider a scenario in which a resource is replaced by another resource in production line. The obsolete resource ID needs to be deleted but at the same time, all planning done earlier with this resource ID should be realigned to the new resource ID.
How it works: Set up a new realignment project in “Manage Realignment Rules” fiori app. Map the source and target attributes correctly. Under processing option, mark “Delete Source Planning Objects”. The details on how to set up this project and other configurations is out of scope of this document. Once this project is set up, run the application job “Realign Planning Data” to execute the realignment project. This will copy data from source field to target field based on attribute mapping and further will delete Source Planning Objects.
