What is Situation Handling in SAP?

Situation Handling in SAP helps users stay informed about important business events by triggering notifications and enabling them to take quick actions. For Enterprise Asset Management (EAM), SAP provides standard situation templates that can be customized to meet your business needs.

Template Name: EAM_MAINT_NOTIF_SUBPHASE_CHANGED

Description: Notification Subphase is changed

This template supports both event-based and batch-based triggers for maintenance notifications when they are:

  • Created
  • In Process
  • Completed

Key Features of the Template

  • Perform quick callback actions like Accept or Reject a maintenance notification.
  • Navigate to the Manage Maintenance Notification (F5777) app for detailed actions.
  • Configure recipients who should receive notifications via email or SAP Fiori Launchpad (FLP).

 

Steps to Configure Situation Handling for Maintenance Notifications

1. Create a Situation Type from the Standard Template

Select the template Notification Subphase is changed and click Create Situation Type.

2. Define Situation Triggers

Under the Situation Triggers tab, configure when notifications should be triggered. The template supports:

  • Event-Based Triggers for real-time updates (e.g., when a notification is created or completed).
  • Batch-Based Triggers for scheduled checks.

3. Configure Recipients

Under the Recipients section, assign users or teams who should receive notifications. You can filter recipients by Responsibility Definition (e.g., Lead, Internal) defined in the Teams and Responsibilities app.

4. Customize Notification Messages

End users can configure the message text shown in notifications for better clarity and context.

5. Define Conditions for Situation Trigger

Under the Conditions tab, you can set filters to control when the situation should be triggered. This allows fine-grained control over notifications.

You can filter based on:

  • Creation Date
  • Equipment
  • Functional Location
  • Last Changed By
  • Notification Text
  • Person Responsible
  • Priority (e.g., only trigger for Very High priority)
  • Phase or Subphase

6. Access My Situations – Extended App

Use this app to view all notifications raised, quick details of the maintenance notification, and perform quick actions like Accept Maintenance Notification or Navigate to the Manage Maintenance Notification app.
