Technicians who maintain and service assets in the field often rely on paper-based forms to manually capture data during inspections or mobile applications that allow them to access maintenance tasks and asset data for execution of their job.  Whether they have transitioned to a paperless process or not, they require a flexible way to capture data that can adapt to various scenarios based on the type of inspection or asset being serviced. Furthermore, both technicians and organizations must stay up to date with the frequent changes in regulations and policies that change the specific business context and impact safety and compliance requirements of their work.

From assigning digital forms to orders, operations, or assets, to entering data points in the field and integrating results back into your system of record for analysis, SAP Dynamic Forms streamlines the entire process. Technicians can make use of a user-friendly interface that aids in the adoption of new mobile flows for maintenance and service execution. Additionally, organizations benefit from the quality and consistency of the captured data, ensuring they meet safety and compliance standards.

Let's see how adopting digital forms can help your business keep up in today's digital world:

Intuitive forms creation

Enable business users to create and edit form definitions (templates) using a low-code no-code forms designer that does not require extensive development knowledge.

  • Add form fields (such as text inputs, checkboxes, and dropdowns) and customize your form instance layout.
  • Define mandatory fields and visibility conditions, prefill form fields with existing data and validate data inputs to provide technicians with guided workflow steps for execution.
  • Define validation rules for fields (such as required fields, entry data format, predefined content) to ensure data integrity.
  • Manage form versioning and history of form changes.
  • Assign forms to assets (equipment and functional location), work orders and operations.

Seamless integration

Use a standard integration tool and framework that makes data easy to manage, maintain and integrate in your SAP ERP or SAP S/4HANA backend.

  • Assign form definitions (templates) to SAP objects manually or automatically based on forms categories and rules.
  • Track distribution of forms.
  • Monitor responses with a forms post-processing tool.

Digitize your business processes

Eliminate the need for paper-based forms, simplify your data capture process and reduce the risk of human error with digital forms. Maintenance and Field service technicians’ users will be able to:

  • Access shared forms on an online web browser or from SAP Service and Asset Manager mobile app to access forms whether online or offline.
  • Capture all the required data based on validation rules or pre-set answers and report deviations.
  • Complete forms following a guided workflow and store responses securely.

Licensing and Availability

SAP Dynamic Forms has been released and customers with the new SAP Service and Asset Manager license will get an entitlement to use it with their mobile license. For additional consumption of forms, we are introducing an SAP Dynamic Forms Add-on that will give customers the opportunity to scale based on the number of documents they are going to consume.

For existing customers that want to make use of this new offering, a replacement of their existing material code will be needed, please reach out to your sales representative or customer success partner.

Some of the changes in the licensing model that existing customers will notice:

  1. NEW! SAP Service and Asset Manager material code is being renamed as SAP Mobile Execution and Dynamic Forms to reflect the features that the license includes. When performing the license replacement this is the new name that will show up in their order form.

  1. The metric of this license remains as Full Usage Equivalents (“FUE”). “FUE” is the aggregation method by which customers may allocate individuals access to the cloud service.
  1. Usage of SAP Mobile Execution and Dynamic Forms is considered professional, standard or basic:
    1. 1 FUE = 1 Professional user. Authorizes individuals to use SAP Service and Asset Manager Professional mobile personas and SAP Dynamic Forms with a fix entitlement of 1200 documents FUE/contract year.
    2. 1 FUE = 2 Standard users. Authorizes individuals to use SAP Service and Asset Manager Standard mobile personas and SAP Dynamic Forms with a fix entitlement of 1200 documents FUE/contract year.
    3. NEW! 1 FUE = 10 Basic users. Authorizes individuals to use SAP Dynamic Forms from Fiori Apps (online only) and consume a fix entitlement of 1200 documents FUE/contract year.

Customer needing an additional volume of forms might have to license SAP Dynamic Forms Add-on on top of the SAP Mobile Execution and Dynamic Forms license.

  1. On top of the SAP Dynamic Forms entitlements we are including as well the following BTP entitlements in the license, with the goal of providing our customers with everything they need to start configuring SAP Service and Asset Manager and SAP Dynamic Forms:
  • SAP Business Technology Platform Mobile Services - resources needed for development and operations in the same number of individual users with access to the Cloud Service. Customer is not allowed to use SAP Business Technology Platform Mobile Services for development of custom mobile applications.
  • NEW! SAP Business Application Studio - 3 individual users per month.
  • SAP Business Technology Platform, Cloud Foundry Runtime - 3GB per month.

As for availability, in this first release SAP Dynamic Forms will be supported for the Maintenance Technician persona in SAP Service and Asset Manager (Professional and Standard). For Field Service Technicians only CS orders will support Dynamic Forms.
