#1: Taking Advantage of the Onboarding Center

SAP Ariba Intake Management has been developed as a native cloud solution on SAP BTP. It is deployed as an SAP Managed solution, meaning it is hosted by SAP in a dedicated customer sub account. The customer can deploy the solution through an automated provisioning process which starts in SAP for Me. This improves the adoption journey significantly if the customer is keen to consume SAP-delivered content only.

SAP offers a comprehensive collection of helpful materials intended to ease deployment and eventual adoption. Be sure to make use of those materials which are delivered as part of the customer handover e-mail.

#2: Working with SAP Business Technology Platform (SAP BTP)

The advantage of developing a native cloud solution on SAP BTP is that you can use the rich service ecosystem of the platform to extend the solution. As part of SAP Ariba Intake Management, SAP offers additional entitlements to SAP BTP services which the customer can deploy in their own SAP BTP Global Account (customer-managed). The most important entitlement is to SAP Build Process Automation, where they can model and deploy custom processes relating to their unique business and industry requirements. The customer will face two options using the entitlements:

  • If they already have a customer managed SAP BTP global account, they can add the entitlement to that account. Note: In case they own multiple global accounts, the customer must identify which global account SAP Build Process Automation should be added to.
  • If the customer is new to SAP BTP, the required global account will be created for them upon completion of the contract agreement for SAP Ariba Intake Management solution.

#3: Review the process library

SAP Ariba Intake Management comes with pre-delivered content packages. A content package is a standard process which combines a user interface, a process, and a standard connector for process integration. The advantage of pre-delivery content is that it can deployed automatically with no additional configuration effort. Having said that, we acknowledge that many customers have custom requirements when modelling their business processes. Therefore, you also have the entitlement to SAP Build Process Automation. You can model your own processes in SAP Build Process Automation and connect them with SAP Ariba Intake Management to facilitate an end-to-end user experience blending the best of SaaS and PaaS technology. Further, we are working with multiple partners who are keen to add to a public process library by developing and releasing great intake processes using the same technology foundation of SAP Ariba Intake Management blended with SAP Build Process Automation. #4: Register with Ariba Open API portal to ensure you can work with relevant APIs

If a customer wants to model custom an Intake Request flows, they will need to create integrations. To successfully prepare for that, the customer must be registered in the Ariba Open API portal (https://developer.ariba.com/).

#5: Ensure you enable SSO to work with other SAP Ariba application(s)

To make the cross-system experience of the user as friendly as possible, we recommend that the customer enables Single Sign On (SSO) to ease user logon access between Ariba applications. 

#6: Uploading your user data

SAP Ariba Intake Management provides end users with direct access to their user data, reducing the complexity of creating a request. To achieve this, the system requires the user data in a central store. Customers must upload their user data into the Identity Storage Service of the SAP Cloud Identity instance in SAP Ariba Intake Management.

#7: Uploading master data into MD Apps (internal service name)

A second pre-requisite of SAP Ariba Intake Management is for customers to upload their master data into our central master data service, MD Apps. SAP Ariba Intake Management is bundled with an instance of MD Apps for master data management. MD Apps will offer automated data synchronization between the following systems:

  • SAP Ariba Buying
  • SAP Ariba Sourcing
  • SAP S/4 HANA Cloud
  • SAP S/4 HANA Private Cloud
  • SAP S/4 HANA On Premise

#8: Joule Enablement 

SAP Ariba Intake Management includes a formation with Joule. This ensure that an end user can access Joule in the SAP Ariba Intake Management solution, as well as access Joule skills developed for SAP Ariba Intake Management from any other solution with Joule enabled.
