SAP Concur can send Intelligence reports to the SFTP account hosted by SAP Concur. This capability is available to all clients with SAP Concur Intelligence and SFTP account with SAP Concur.

How does it work?

The 2 requirements must be met:

  1. Your company must have Intelligence (which provides the Professional Author’s role to allow scheduling of reports).
  2. SAP Concur SFTP Access must exist for the entity. If you have more than one SFTP, please verify which login ID the files should go to.

Once the above conditions are fulfilled, you just need to send reports to your SFTP by emailing the report to <entitycode>@rn.concursolutions.com or <entitycode-NN>@rn.concursolutions.com (if multiple file route keys have been configured and specified). Entity code (it’s Concur internal code, it helps us to identify your company in Concurs system) and the exact email will be given to you by your Project Manager/Technical Consultant/Concur Support.

See the steps below how you can schedule the reports to be delivered to your SFTP account.

Before scheduling a report, keep the following best practices in mind:

  • Avoid scheduling a report with extremely large data sets. It may time out.
  • Be sure the delivery format meets the needs of the recipient(s)
  • Check recipient(s) before finalizing the schedule to ensure only appropriate parties receive the report.
  • Ensure prompt selections are appropriate for a report that will run on a schedule.
  • Include the name of the person who owns the schedule in the body of the email, if possible.
  • Use email address <entitycode>@rn.concursolutions.com under Delivery>Send Report by Email to deliver the report to SFTP server.
  • To send the report to both production and test sftp accounts there should be two instances of the same report using either <prodentitycode>@rn.concursolutions.com or <testentityID>@rn.concursolutions.com under Delivery>Send Report by Email. Using both emails to deliver the report to test and prod sftp in the same schedule can create a conflict and the report would not be delivered to one of the sftp folders.

Schedule a Report

  1. Navigate to the file location of the report to be scheduled. Select the “…” to open the menu and choose properties). Select Schedule > Create Schedule. Note: Standard reports cannot be scheduled for delivery from the schedule reports folder. Copy the standard report to a public folder or a My Content folder prior to creating a schedule.

2.There are 3 tabs on the schedule window. On the schedule tab, review the follow sections:

  1. Frequency:
    1.           Change delivery to weekly, daily, or monthly. To deliver a report every workday, choose “weekly” and select Monday – Friday.
    2.           Change the day(s) of the week or month.
  2. Period:
    1.           Change when delivery should begin or end.
    2.           Change the delivery time. 
  3. Advanced:
    1.           View or update credentials. Credentials uniquely identify the user who scheduled the report.
    2.           Credentials may need to be updated if the previous schedule owner leaves/changes roles.

  1. On the options tab, review the following sections:
  1. Format – Change the file format of the report as appropriate.
  2. Delivery
    1.           Select “save” to ensure the report runs are saved in Cognos.
    2.           Cognos saves the last 5 runs of the report schedule.
  •           Check the box next to “send report by email” >>use email address <entitycode>@rn.concursolutions.com to deliver the report to SFTP server.
  1. Click “edit details” to update the email message and recipients.

  1. Once “edit details” is selected, the email screen is displayed. Remove the default email address and enter list of email addresses. Update the subject line and add a message as appropriate.
  2. Scroll down to check “attach report output”. Be sure that tab is blue.

  1. Prompts – If the report has a prompt page, choose “set values” to open the prompt page. Choose prompt values and click finish (not pictured)

    e. The selected prompts are displayed. Choose “save” to set the schedule

Once the report generation is completed it will be delivered to the out folder of your SFTP server.
