Funds Reservation closed with FMMC but Proj System still shows encumbrance

What could be the cause of a handfull of remaining balances on Funds Reservations (containing WBS elements)that have been closed using FMMC to still show in Project Systems report S_ALR_87013532 (Plan/Actual/Variance).

For example, we have one scenario whereby and funds reservation was created for $3,050 in FY06. Invoices in FY06 totaling $3,045 were processed against the reservation leaving $5 open.

At fiscal year 06 end it was determined that the reservation should be closed using FMMC and it was closed. For some reason the $5 is still showing in Project Systems on reports under the encumbered section.

Any ideas? I have been trying to duplicate the issue. In DEV, if I close a reservation with a WBS element using FMMC, Project Systems gets updated immediately. Most reservation closings have been fine, its just about 20 over the past fiscal years that have ended like this.

I discovered that the project system report is configured to read value type 2A instead of 81 for funds reservations. What is the difference?

Hi,

You must have both CO Commitment Management and FM active. You can confirm this by chacking CO configuration OKKP and you should see Commitment Management is active. Value type 2A is use by CO Commitment Management. Tables for CO and FM Commitment Line itme are COOI and FMIOI respectively.

Yes, we have both active. Do you have any idea why value type 2A is still showing the funds reservation encumbrance even though the reservation was closed using FMMC?

Hello Will,

I don't know what project report you ran. But check out CJI5. It is consistent with the open commitments. If you close out an earmarked fund using any relevant transaction (including FMMC), CO commitment will not appear on CJI5 report. As far as S_ALR_87013578 concerns, the report is for Plan/actual, it does not deal with commitments.

Thank you for your help! I think I am in the right direction. I was thinking that S_ALR_87013532 was a standard SAP report but... it may have been changed. When I run this report in our system it has a column for "Encumbrances". I think this may have been added along with the value type 2A. In other similiar reports I see the column "Commitment" that references value type 23 for Reservation Commitment.

Can you pull up S_ALR_87013532 and tell me if it has the "Encumbrance" column?

CJI5 is consistent with what I see in FM. I see it doesn't show commitments that have the deletion indicator set.

Hi Will,

No, in our system report S_ALR_87013532 only has cloumn 'Plan', 'Actual', 'Variance', and 'Var%'. Also, if you access the report through Project Information System menu path, you'll see it is under Cost > Plan-Based instead of Cost > Budget-Related.

How is it possible that in table COOI, I am seeing a zero value for the reservation in question but the reports using value type 2A are pulling in an amount?

When I flag the completion indicator for a funds commitment. In COOI all plan values (ORGWTH, ORGWTK, etc) are still there but the commitment values (WHGBTR, WKGBTR, etc) are gone. And the deletion field (LOEKZ) is checked. You might want to look into that report and see from what field in COOI, it is pulling data.
