SAP PS (Project System) integration With PPM (Portfolio and Project Management)

Hello,

I am new to the issue PPM, so I have some questions:

Is there any possibility to import all SAP PS projects to PPM in one step.

In SAP Help is mentioned the function of importing one PS project to PPM.
But I have the request to import all PS project we have in our system (about 1500).

We want to start to use PPM in our company.

How can I import all PS projects to PPM? Is there an guide or documentation?

Hello Andreas

There are a few standard migration tools available. See under SPRO -> Portfolio Management -> Utilities -> Transfer Data to SAP Portfolio and Project Management

You will find that data transfer is not 'easy and in 1 step' and you will have to configure objects such as Initiative and Items types, Portfolio related configuration, financial related configuration, etc etc. Please refer to the configuration guide for this

thank you for your answer.

I am working through the configuration guide to set up and configure  all necessary objects.

As far as I can see under SPRO -> Portfolio Management -> Utilities -> Transfer Data to SAP Portfolio Management you can import only from Microsoft Excel. Is that correct?

Does this mean, after I habe finished the configuration I have to export projects to an Excel Sheet and import it in Portfolio Management?

Is there any docmentation how to do that?

Hello Andreas,

Yes from Excel, and Yes that is correct - you will have to populate the spread sheets. You can get the templates and it is pretty self explanatory on how to populate and use them. Do a small test first to see how it works

We found the standard very rigorous and adapted them and created our own upload/migration mechanism combining various aspects

Hi Andreas,

Run one of the uploads - e.g. "Import from Microsoft Excel to Items"

Then click the 'Display DX layout' button:

Note that it will ask for a file name so for now simply use a dummy name as per my example

thank you very much for your answer. I got now the templates.

But as far as I can see, in SPRO -> SAP Portfolio and Project Management -> Portfolio Management -> Utilities -> Transfer Data to SAP Portfolio and Project Management I can import data from Excel to items, initiatives, buckets an portfolios. But I can't see an option to import data from Excel to projects (see screenshot below).

How can I import projects from PS via Excel to PPM projects?

I might be wrong but I am not aware of any specific upload mechanism to cProjects only. Perhaps someone else can comment on this

What you can consider is the following: Depending on your Item type configuration a cProject can be created at the same time as the Item. I have never used these standard DX upload mechanisms as we created our own, but in theory it is possible that your cProject will then be created along with your Item and Decision Points will be mapped to cProject phases provided you have done all the necessary config and mapped the Item template/type to the cProject templates. Do you understand what I mean by this? See if you can find something around this in the config documentation (templates and mapping, etc) and revert if you need more help

We have an Application Server ABAP based on Netweaver 7.4 with ERP (ECC 6.0).

For PPM we have installed component CPRXRPM 600_740.

Is cProjects installed with this component? Or do we have to install an other component?

I am a little bit confused.

Hi Andreas,

Yes, cProjects is included here. Can you in SPRO see under Portfolio and Project Management a node for Project Management? This is broadly speaking your "cProjects" area.

When you mentioned in your post above "...import from Excel to projects..." I assumed this is what you were referring to? The cProjects component deals with aspects such as detailed resourcing, Phase and task planning and scheduling and is often associated as "the other side of the coin" to PPM Items (although this is not required and a cProject may be stand alone and linked to a ERP object such as a PS Project, or visa versa an Item may not have a cProject but only an ERP object link). I am not sure what your exact business requirements are and assumed you referred to projects as cProjects?

So. Do you have existing PS Projects and you wish to migrate to PPM Items, or do you also wish to create associated cProjects?

that's the point:

We have existing PS projects and we want to migrate them both to PPM items and to cProjects projects.

Our company is using PS for project management and we have many projects in PS. Now we got the requirement to install and test PPM. For that I got the task to migrate these PS projects to PPM.

As I am new to PPM I want to gain an overview of PPM and its functions. So I want my PS projects both as items in PPM and as projects in cProjects. The SAP documentation is not very broad at this specific point.

How do I get them in cProjects?

I understand. As stated before I am not sure if there is an individual upload tool for cProjects only but that you should be able to get the cProjects data by doing the relevant configuration, templates and mapping. There are quite a number of steps needed to achieve this and I suggest you liaise with the functional consultant (you are responsible only for data migration?) to do this setup. You should create an Item type where the value for setting 'Link to Project System' is set to 'Portfolio and Project Management' - this means that a cProject will be created whenever you create an Item (as opposed to a PS project). You may however still link a PS project to your Item also despite this setting as this setting deals with immediate creation of PS project or cProject when the Item is created. Note again that I am not fully aware of all your requirements and this suggestion is based on the little I can gleen from your posts. Also you will have to setup a Project type under configuration along with relevant settings, create templates and do a mapping to the Item types/templates. etc. Quite a few steps as mentioned

I am the responsible person for installation, configuration, migration an functions in PPM. As I said before, we are new to PPM and it is my mission to test it.

Your suggestion means I have an item in PPM and it would link to a cProjects Project an a PS Project? Is that correct.

Hello Andreas,

That is correct, but this may not be what you require. You may only want a PPM item which can be used for cost planning, high level date maintenance and linked to a PS project from where you can configure cost rollup from PS actuals, commitments etc.  This Item may then by linked to an Initiative and Bucket which is in turn linked to a Portfolio. If this is all that you require then you also have the option to create a PS project immediately as you create the PPM Item. From my experience we prefer not to do this since we enable instead the automatic creation of a cProject on Item creation, and then later we follow a process whereby the PS project is created from the Item based on status approval. If you require more detailed planning and use of objects such as Phases, tasks, checklist Items then you may consider also using cProjects. We typically require this option

Again. Try be flexible but do not over complicate things. Design for the end state but don't paint yourself into a corner by over-engineering this. It would be useful if you could attend a PPM overview course or find some more documentation to go through. This forum is unfortunately not suited for detailed discussion such as this and it would take a long time to explain all of the aspects.

We have similar requirement for our project where we need to create ppm item and project for existing ps project. Can you please guide us as you have already implemented the same.
