SAP PPM Default Workflow Issue

Dear Experts,

I have activate the default PPM Workflow for Item Status Change but however the email is not getting triggered. Do I need to prepare a template ?

Anil P,

however the SAP code needs to be fixed. If you set the user that is executing the Workflow in the ACL of the corresponding item, you will see that the workflow will pick up this user (no matter the activity) as recipient.

This is not the expected behaviour. In order to amend it, I am afraid a SAP Note needs to be raised.

Dear AP,

we have faced a similar issue (with workflows for change of stauts) for:

- Item

- Decision Points

For the Decision Point:

  • The workflow was giving an error because was retrieving 0 recipients. Nevertheless, the Decision Point ACL was correct and had 3 users informed. So, we expected to have an email sent to this 3 users.
  • Getting into debugging, we have come across to the fact that the logic in the Class/Method for decision point for gathering the recipients is not correct.
  • By chance a new SAP Note appeared the 1st December 2021 (3126318 - Recipients are not fetched properly for workflow with Decision Point status change):
  • On the other hand, this note entitles that applies only for versions: ) old PPM add-on (before HANA) and for PPM HANA (Core 105).
  • In our case, we are in CORE 103 (1809) and it also applies. I have had to manually adjust the method code as it specifies the SNOTE and it worked so far as expected.
  • I have contacted SAP to adjust the validity of the solution to other versions as well.

For the item:

  • We are facing a similar scenario with workflow with items, but i have not find any SNOTE related to it.

Please let me know if you could solve that thing.

Hi,

It the workflow not triggering for only this review-user set of combination or it is not triggering for any combination of decision point and user in item combination at all.

If yes, then I feel SCOT, SMTP settings needs to be checked. If not, I am not sure... Maybe we have to wait for other experts to come and comment.

Thanks Saurabh,

I have just configured for Item Status change nothing else. I tried with Read, Write, Admin Authorization. I checked with Basis guy, we can able to trigger the email from SAP using a 3rd party service.

Lets wait for other comments.

Hi,

Please check whether the users assigned in PPM item have their address data maintained in HR master (email, address and so on...)

Hi Saurabh,

I do not have HR implemented so I created the resource manually in PPM and in SU01 the communication type is chosen as email.

Dear AP,

I thinks that's because SMTP connection is not maintained in you system. Workflow can not triger task to send email anyway. Try to get your basis team to maintain SMTP connection with transaction SCOT.

That's the last thing I know. Please check recipient setting.

And don't forget to maintain authorization on portfolio item. Because workfolw recipients are referenced with item authorization.

Yes, these are maintained. Just to tell you I am adding the workflow for Item status change so I have below.

Also the users are added in Item authorization in the portal.

This was not our case as it is properly configured and, after the SNOTE implementation, we are now getting the emails in the SOST.
