Mapping of home furniture and beddings in SAP PM

Hi PM experts,

Need advise on a scenario. My client is into real estate and hotel business. They lease furnished flats with all furniture like table , chairs, bed and electronics gadgets e.g. Fridge, TV , Gyser , Mixer etc to tenant. Now the scenario is -

1. They want to map these items in SAP PM and issue in name of Tenant. For flat we can map as Func Location and electronic gadgets we can map as an equipment. But the problem is with Furniture i.e. table , chair and small items like bucket , mugs , kitchen wares, beddings , pillows , towels etc , where no demarkation or numbering is available. How to map these items in SAP PM.

2. In case if there is any fault in any of these items , these need to be replaced. In such case , which trasaction need to be run to dismantle these from the Floc (e.g. Flat). I was considering using IE4N but the challenge is , it need the serial number managed material and second issue is we can dismatle one equipment only at a time. This is time consuming. Is there a better way?

A quick reponse will be much appreciated.

Hello dennis.rechards,

  • The movement type 262 with reference to reservation is itself an indicator that material is removed from technical object and moved to warehouse in a storage location. Maintenance order with reference to technical object also establish the linking that material has been removed from equipment. Dismantling can be tracked through MB51 report with movement type 262. One more suggestion => At the time of posting 262 movement in MIGO you can put a comment in the document header text for reference/ reporting.
  • Negative quantity in component tab will increase the stock of material in warehouse because faulty material is returned to warehouse. But in the functional location structure you cannot see dismantling or reduction in quantity of material anywhere. If you want to see dismantling then use IE4N but serial number is mandatory.

Hello Dennis,

for the purpose of materials management you can represent each flat as a storage location and book a materials movement for your bed sheets, if someone is bringing them to a flat.

It is often required that you must manage different aspects of a real world by different SAP Business Objects, e.g. in case of your flats, a flat can be a functional location for the purpose of maintenance, a storage location for the purpose of materials management, a cost and profit center for the management of costs and revenues related to a flat, ... .

The key are a well defined digital twin models and management for all of your flats, bed sheets, ... and all of your asset categories, which cover all business requirements.

You can try with one of the following way which suits to your client business:

  • Option 1. Use equipment and sub-equipment concept. But it is tedious.
  • Option 2. Create bed, furniture as material and add them in bill of material of flat. If you want to dismantle a material (For ex-Bed) and return it to warehouse without serial number then add the material in component tab of maintenance order and make quantity as negative (For ex: Bed -> -1 ea). Afterwards post 262 movement type with reference to reservation number created from maintenance order. It will increase the quantity of material in warehouse.

To issue a new material (Bed) you can enter the material with positive quantity and post 261 movement type with reference to same reservation number.

Please note that bill of material is only for tracking. It is not mandatory step.

In this case , by qty (-1) , even if the storage location stock will increase or by +1 the stock will decrease by 1 , but how the material will be decoupled from the FLOC? This component will still be visible in the BOM of Floc , unless removed manually or via some trasaction.

Are you suggesting it to do manually ? If yes, then again , changing Floc BOM master data directly is not a best practice and not accpted by client.

Hi,

Use functional locations for flats and equipment for electronics gadgets in SAP PM.

For unnumbered furniture and small items, employ custom attributes or classifications. or create material master and create BOM for equipment/Functional Location.

Handle faults and replacements through maintenance notifications or work orders.

Hi Dennis,

you can use material numbers to buy these things and serial numbers identify the single pieces or as an alternative use the equipment number to identify them or synchronize serial numbers and equipment number, but this depends on your the sum of your business requirements.

So, serial numbers are not required, but an option.

Take an example of bedsheets. There is a storage location , holding the stock of bedsheets. Assume we have taken these bedsheets GR with serial number and hence all the bedsheets are having a serial number allocated.

Now I want to issue a bedsheet to one of the flat (Func loc). How can i issue this (material + serial number) directly to Floc. I understand that either we have to create the Equipment master for each bedsheet and install this to Floc. This seems not a right practice as Bedsheet, Bucket , Mugs etc are petty items having less value and a high frequency of change. In case of maintaining these as serialized equipment , every time I need to install or dismantle it from Floc. Which would be a tedious task (also creating and deleting -setting DLFL an Equipment master frequently will again a tedious task for business for such items) .

(Note: - I need to track the inventory of my items also e.g How many has been issued against a flat from Storage location and on which date)

Else i need to create a BoM for Floc having all these material as component. But in this case too, since BOM is a master data , it's not good to make any direct change whenever a component is gettign added or removed or replaced, rather it must be done via some trasaction like IE4N. So i don't think BOM is releavant option.

I want to understand , if I maintain it as Material with serial number, is there a process where I can create a workorder for such material issuance or removal from Flat (Floc) and while executing the trasaction the components should be replaced / added in backend by system , rather someone to go and change it manually (example- something like IE4N).

Hello Dennis,

any asset (something that has potential or actual value - see ISO 55000 Asset Management) can be managed with SAP Asset and Service Management as a Functional Location or Equipment as leading SAP Business Object (Asset Administration Shell - see Industry 4.0). In your business case I would use equipment, QR-Code Labels and IE02.

You can use S/4HANA 2023 Service with Advanced Execution or SAP ECC SD and CS to manage the business.

Thanks for your input. So here , are you suggesting to map all these as Equipment with a serial number?

If yes, wouldn't be it so time consuming to manage the master data for such a non-costly items like kitchenware, beddings etc and track these based on their serial numbers?
