File Lifecycle Management - On Closed and Move to Cabinets

Continuing with my questions on functionality, I have few new queries:

  1. What is the "Move to Cabinet" option and when it becomes active?
  2. Can a Closed file be reopened ? Because in Indian PSUs sometimes a continuity has to be maintained on the Notes trail for a file Closed before.

Dear Subhamay,

1) Move to Cabinet:

If you are willing to take an action on a later date then you can move the file to the cabinet by selecting a date, On the mentioned date the file will get reverted back to the inbox.

2) Closed File:

Once the file is closed it is closed. If you want to use the closed file for reference you can always attach the old file for your newly created file.

I am sorry to respond late. Your clarifications are precise.

Regarding using Closed files as reference, we accept your suggestion and in fact thought in the same way. But we are facing certain roadblocks in using it as a comprehensive solution. The scenario is explained below:

  1. We have tested one enhancement where Users not in the Workflow path can see only the File headers in the search list but CAN NOT read the Notes. This is necessary to maintain certain internal discipline.
  2. So here your suggestion will NOT work as if someone, not in the Workflow of the close file, is now receives it as Attachment, he/she will not be able to read the file.
  3. However, if the PDF printout for the Closed file can include the Note section, then it can be used as attached document. But as of now the PDF print DOES NOT include the Notes. Is it possible to update the PDF report design ? I have also posted this as a new question in the community.
