Termination and Inactive Employee Profile

Hi,

When an employee is terminated from the system, does the EC profile remain active until 11:59pm and then inactivated at midnight after the term date? For example, John Smith's last date of employment is 03/01/21, but when you look at his job history in EC, the termination record effective date is 03/02/21. We would have to look at the Last Date or Employment to see the true termination date.

Is it possible to inactive the employee's profile on the actual termination date vs. 1 day after?

If anyone can help answer it would be very much appreciated!

Hi Annie,

For your query : "Is it possible to inactive the employee's profile on the actual termination date vs. 1 day after?". Please find below points.

  • Employee Central is Effective-dated and the termination date is employee's Last Working day, this day he/she will remain active.
  • Next day, once Delta/Daily HRIS Job runs, employee status will change to inactive in User Directory File/ Employee Profile.
  • Therefore, the very next day of the termination date cannot be selected as rehire date as employee status becomes inactive on this date and even if you rehire on this date employee status will not become active.

One day gap between termination and rehire date is recommended ( Example: termination date 1 March, rehire date 3rd March). If requirement is to rehire the next day itself then after rehiring is complete full HRIS sync job needs to be triggered to take care of reactivating the user.

Hi,

From an audit prospective, I would like to know if the HRIS daily job that runs the termination process, is a standard functionality from SAP and anyone as customers do not have access to modify any of the settings/source code?

If any link is provided from SAP to support the answer, that would be greatly appreciated.

HRIS sync's job is not to run termination event.

Please see Knowledge Base Article to know more about what is HRIS sync: 2080728 - Employee Central: What is HRIS Sync?

Since, employee central is effective dated, it holds past, present and future records(if any). But to send data to other modules and system, those data should only be present " effective " data. Therefore, this HRIS sync daily job /delta job is to capture all the delta changes in system and copy only present/effective data to other non-effective dated systems. It will not post past dated changes or future dated changes during that run. It will wait for future date of the record to reach and during that day's delta/daily HRIS sync job run the future dated record will become effective (when record start date = future dated record).

Here during termination event HRIS sync job is same, to make sure the data/employee status is active till employee's last working day. Next day to make his termination record with employee status inactive starts becoming present data and this termination data is also sent to other non-effective dated system.

The audit will always capture the person who saved the record/transaction. If a workflow was involved then the audit will capture the name of last workflow approver (in stead of the initiator of the workflow/transaction).
