SuccessFactors Compensation - freezing approvers at form launch

Hi

I wanted to find out if there is a way to freeze the approvers in the route map in SF Compensation so that if there is an update to any of the approvers in employee data via a feed then the approvers that were set at launch do not get updated. We have a feed from another system that also includes updates to compensation managers and HR representative and to avoid the forms being routed to the wrong approver in case where the feed had the wrong data in the originating system I am looking to see if there is a way to make sure the approver's don't change that was set at the point of the compensation form launch. I still need to be able to update approvers for any genuine changes so would still need to accommodate changes. Changing the actual interface/feed to stop the approvers being updated is currently impractical due to timescale and costs and I couldn’t see anything in SF Manage Route Map page where I can configure this. Any advice would be greatly appreciated.

Hi Tuha, I believe you but it would help if you could send a quick recording. I will do that mass UDF import for one of my worksheets this morning to try to replicate. All the best

Thanks Xavier, unfortunately its not possible to create and share video recordings due to my company's IT and policy restrictions. Appreciate your plan to replicate using the UDF import, that should hopefully replicate the issue. I created a worksheet and then simply exported employee data file, then updated the manager for a few and did the UDF import. I didn't select any of the options to update manager etc and just kept updating Budget. Thanks.

Hi Tuha,

What you want to achieve is actually already SuccessFactors' default behavior.

When you launch compensation worksheets the system takes a print of the different approvers in the route map at the time of the launch and will not update the workflow steps with the new managers in case the manager changes for all employees in that worksheet. Updating the route map recipients of an existing worksheet can only done by a manual intervention from a system administrator through "Route Form" in the admin center.

What the system allows to automate however is to move employees automatically from the worksheet of their old manager to the worksheet of their new manager through the Update all worksheets job (that job can be scheduled to run daily overnight or can be triggered manually by the Compensation Administrator from the compensation template settings under Manage Worksheets).

In that job you need to check the boxes below (the second one is in case the new manager doesn't have a compensation worksheet created already - in that case the system will create one for him/her and add the employee you have moved in it) :

Many thanks for your feedback. I did a quick test by updating (via the data import facility,) one of the manager's/approver that the form goes to higher up in the hierarchy, I didn't update the worksheet or tick the box to move the employee data from old to new. However, I can still see within the approval section of the form that it has already updated the approval route to send the form to the new manager.

Can you please share a recording ? I don't remember having seen that happen. For Performance forms yes but not for Compensation.

Thanks Xavier, it was really nice of you to provide the video and I can see that it didn't update the manager. The only difference between your process and what I did was that since we don't have Employee Central, I updated the manager via a data import (the UDF file) so not sure if that had anything to do with why in my case the manager got updated.
