                              Single Stage and Multistage Job Applications

Overview: -

  • This feature enables the option to expose different application fields, at different points in the application process.
  • The purpose of configuring the multistage application is to allow users to control which fields to display to candidate or recruiting operators based on candidate status

Single stage application: -

  • Candidate completes the Application data at the initial stage only, which means the posted job while applying to the candidate that time only the Applicant can edit and fill in the details within the application process.
  • After applying for the Job the applicant is unable to edit/change the fields but able to see the fields.
  • But Recruiting users can able to see all the fields in all the statuses. 

 How to configure Single stage application: -

Enable Recruiting in Provisioning

  • Configure the fields that are required by the customer and provide the permissions for Roles.
  • See the below screenshot here the field permissions are provided as per Roles.

Example: - the particular Recruiting user needs permissions for Edit access to the particular fields then you can provide the Write access to that role user in entire statuses.

Here another Example

  •             All the Users have read permissions for particular fields in all the stages in Applicant status.
  •             These below fields are visible for all the users in all stages, but they don’t have any Write

Multistage Applications: -

  • The purpose of configuring the multistage application is to allow users to control which fields to display to candidate or recruiting operators based on candidate status.

Configuration in XML template

  • In the Application Template we can give only a few permissions to users as found below screenshot.
  • we have to provide/Control the field permissions through the Job Requisition Template (JRDM) for All multi-users and multiple fields.

Application Template field permissions for Users: -

  • Here in application Template only few permissions provide to the Users
  • All other permissions give to the access to users in JRDM Template.

Permissions for users in JRDM template: -

  • Here the application fields are configured in the Candidate details Template But the permissions will be provided in the JRDM like the below screenshot.
  • In the screenshots There is an Applicant status Set Name Written.
  • And the permissions are provided as per Users.

  • Here the candidate Having these are the statuses have Write permissions for particular fields

  • As per above screenshot the Recruiting Users does have a Read permission for this particular fields in particular statuses.

Example: -

  • R Role users want to see some particular fields only in some stages that time we can restrict the permissions as per Requirement.
  • On these Statuses only, R can able to see and edit the fields no other statuses the user will not be able to do these things.

  • Here as per the Below screenshot in the HR INTERVIEW status the Recruiters need some details from the Candidate, At that time the candidate Received a mail Notification that was Already Configured in the applicant status set.
  • After the candidate logs in through the link he will Update the details as per Permissions which provided to Candidate and Recruiting users as well.
  • The candidate does have Write permissions for the Interview stage. The candidate fills in the needed details and updates the application. these details will be see the Recruiting users in the Audit trail.

Conclusion: -

  • Here the Beauty of Recruitment process is Restrict the application permissions as per the Roles and to the candidate as well.
  • So, the Fields will be secure and the candidate details only will be visible to Authorized Users in the organization.
  • The Candidate data will not be able to be seen by every user which are users which is why the data needs to be visible or editable.
