SAP Enable Now - License

Hi, I wanted to understand more about SEN licenses for the following two scenarios:

  • Access to e-learning training modules: Since the Learner/End Users would be using the client LMS for accessing published training materials (scorm packages), they will not require SAP Enable Now license. Though the client has learner licenses with their subscription, I am assuming it will only be required if we were asking the end user to complete the training through SAP Enable now itself. Hence, we do not need to assign the ‘Learner’ role.
  • Web assistant: My understanding is that a license is not required for End Users to use the Web Assistant functionality. Once the WA configuration is complete, end users should be able to use the standard help on the Fiori launchpad without the need of SEN learner license.
  • I am still unclear then why would end users/learners need a learner license for accessing WA content -custom. Is there any documentation around this or if someone can elaborate more on this?

biljackson: It's a fairly simple rule: If content is delivered from SAP Enable Now then the person consuming this content needs an SAP Enable Now license, and this will be included in the active license count. So, in a cloud situation, if your instance is https://client.enable-now.cloud.sap then any content accessed from that server requires a license - regardless of whether this is via direct URL, hyperlink in a PowerPoint presentation, via the Manager Learner View, via SAP Companion, SAP Companion for Desktop, the Learning Center, etc., etc..

The only potential gray area could be where the content is published to outside of SAP Enable Now (e.g. as a SCORM package loaded into an LMS, or as a stand-alone Trainer loaded onto a separate Web Server). It could be argued that the content is not being consumed from SAP Enable Now, so shouldn't trigger license requirements. It's true that this will not require a logon to SAP Enable Now, but SAP's Ts&Cs are that if the content is consumed using SAP's proprietary technology (think code) then the consumer requires a license. If you publish a SCORM package (for example), that will include JavaScript code to display the content, respond to user interaction/navigation, etc. - and SAP owns that code. So again, a license is required. The only exception seems to be if you generate a .mp4 video, because MP4 is not an SAP technology. (I guess you could argue the same for Word / PowerPoint documents, but I'd have to check to see if the generated files include SAP macros...) Basically, as Anton says.

Specific to your SAP Companion comment, again, if it is content being served from your instance, a license is required. So in EXT mode, you have dataUrlSEN2, and in SEN mode dataUrlSEN, pointing to your Manager, so license required. With non-extended mode (UACP), dataUrlSEN is pointing to SAP's standard content server, so no license required.

Finally, SAP only counts 'Active' users.

And finally finally - external consumption is a different deal, but I'm assuming you're not doing that.

Previous answer on consumption of content externally removed pending confirmation (thanks, Anton).

But comments on SAP Companion still stand: Users don't need licenses to consume SAP standard content (serviceLayerVersion=UACP) because it is being delivered from SAP's Enable Now instance (which is offered free) but as soon as you create custom content (or modify standard content) that is stored in your SAP Enable Now instance, so users (consumers as well as creators) will need a license.

Can you elaborate on content that "triggers" a logged user account that will be included in the subscription count?

For example:

  1. Upon accessing a Learning Library
  • The learning library hosted within SEN
  • The learning library hosted on another app, like a SharePoint
  1. Upon initiating a simulation, hosted course or other SEN object
  2. Upon accessing Companion by clicking the question mark (opening the right side frame of Companion’s in-app help) ß since SEN is “turned on” at an environment level, this could be any system user
  3. Upon accessing a Guided Tour in Companion (custom content?)
  4. Upon opening a Companion hotspot
  5. Something else

Your "custom content" comment implies an object-level link that will either lead to SAP standard content or out to a user-defined location. Is that correct?

The SAP Enable Now Consumption license is required if the content created with SAP Enable Now is consumed from the LMS or through any other channel (i.e. 3rd party server, offline etc). I do agree, that once content is exported from the SAP Enable Now Manager, it's hard to track where it's being used, but almost all these cases will require the SAP Enable Now Consumption Option license.

The exceptions are for static content only: Word Documents, .PDFs, MS Powerpoint, .MP4.

Thanks Anton for your response. In our previous projects, we have had instances where we just published scorm packages which were uploaded to client LMS. The end users took courses directly from LMS and I am not aware of any SEN learner license involved in accessing that content. Has anything changed now?

Hi Siddharth,

I've updated my answer. With regards to the content consumption through LMS, the license terms have always been like that. I believe, someone might misread them or interpreted incorrectly which led to a wrong perception that the SAP Enable Now content exported to LMS doesn't require a consumption license.

Yes, my misinterpretation. Content exported from SAP Enable Now can be consumed without a license, but only in the following formats: PDF, Microsoft Word, Microsoft PowerPoint documents or .MP4 videos (as Anton notes). The SAP Enable Now Supplemental Terms and Conditions were updated to explicitly state this, in January 2022.
