Registration email to recruitment agency instead of candidate

Good afternoon

I am wondering if anyone can please help me in relation to this.  In e-recruitment the registration of a candidate has been done by a recruitment agency, how can SAP e-recruiting ensure confirmation of registration goes to the recruitment agency and not candidate?

For example, the agency registers a couple of candidates in the e-recruiting system, they enter the candidates basic details etc.  However, we do not necessarily want the candidate to get an email saying they are registered etc as that would/should have already been discussed with the candidate by the agency, prior to submitting their application to the company. Could the agency put in the candidates first name and last name for each candidate and for each candidates email address put their company email address instead?  Or any other ideas?  What has others done?

I see this question came up before in the forum but it does not appear it was answered.

Hi Natasha,

I guess you are using EhP5 or above because there also confirmation letters are sent to the candidates. If you want to change that behavior, it's the easiest way to adopt workflow WS51900008 and delete/modify the condition (application = exists -> right side).

Many thanks for your reply.  So I can have two workflows for this scenario is that correct?  One when the candidate registers themselves and another for when the agency registers the candidate?

Hi Natasha,

No, it's just one workflow but you have here two conditions:

  • one if the candidate registers himself/herself (condition: no application exists) and
  • the other one if you create an application manually (condition: application exists).

Thanks very much for your reply.  Sorry one more question as I am new to the workflows, so please bare with me. 

For the condition of creating an application manually, how would you ensure the system replies to the agency when they enter the application manually and then to the candidate if a recruiter enters it manually?

Hi Natasha,

So you want to send different correspondences in that case? You coul read the user-ID who created the objects and then check if it is assigned to an agency or not (of course that works just if they just operate on that role).
