Recruiting Groups per legal entity

Hi,

We are using one job requisition template today, but in the SF suite we operate with different legal entities. I want to create one recruiting group per legal entity. I want each recruiting group to have access to job requisition that only applies to their respective legal entities. Today all recruiters see all job reqs. 

How can this be achieved? Any way to automate this?

Here’s a step-by-step approach to configuring this setup:

  1. Define Recruiting Groups:
    • Create Recruiting Groups for each legal entity. Recruiting Groups are clusters of users that share the same permissions or access rights to job requisitions.
    • Go to "Admin Center" -> "Manage Recruiting Groups" and create a group for each legal entity.
  2. Assign Users to Recruiting Groups:
    • Assign recruiters to the appropriate Recruiting Group based on their legal entity. This way, they will only see and access job requisitions associated with their group.
    • You can automate this aspect via user import functionalities or APIs, ensuring users are dynamically placed into the correct groups based on attributes like “Legal Entity”.
  3. Modify Job Requisition Templates:
    • Ensure that job requisition templates include a field or attribute distinguishing which legal entity they apply to.
    • This can be done by adding a custom field to the template or utilizing an existing field like “Location” or “Division” to indirectly represent the legal entity.
  4. Set Permission Rules:
    • Adjust the Permission Rules so that each Recruiting Group has access restrictions based on legal entity identifiers.
    • Configure permission roles in “Admin Center” -> “Manage Permission Roles”, and define the criteria using either a custom field (representing legal entity) or leveraging existing fields like "Department" or "Location".
  5. Automating Access Control:
    • Create dynamic permissions using “Manage Permission Groups” to ensure permissions adapt based on changes to user attributes (e.g., if a recruiter switches legal entities).

can you give more details on this point?

What do you mean with Permission Rule?

I´m taking of permissions roles, not permissions rules. is a mistake in the text.

Please review KBA 2291548 - Working with Recruiting Groups in SuccessFactors Recruiting and point 7.2 of the Setting Up and Maintaining SAP SuccessFactors Recruiting guide to learn how to create and edit Recruiting Groups.

l’ll try to simplify the explanation and provide useful information:

1. The first step to create Recruiting Groups is granting access to the feature. You can do this by following these steps:

Admin Tools > Manage Permission Roles > select Role > Permission > Manage Recruiting > Manage Recruiting Groups

2. Once you granted the permissions,  you´ll be able to Create/edit recruiting groups. Recruiting groups are set up and updated by using the Admin Center > Manage Recruiting Groups

Follow these steps to create a new recruiting group:

  • Create a new group.
  • Choose Group Members (People Pool): Add by category or add individuals.
  • Choose Done.
  • Choose Update in the Group Membership box to get a count of the number of users matching the criteria specified.

Each group can include multiple people pools. See KBA 2473146 - People Pool Category in Manage Recruiting Groups - Recruiting Management if you would like to add one or more field categories on People Pool in Manage Recruiting Groups

3. To use recruiting groups, you must make changes to the XML file or you may use Manage Templates for Recruiting. See KBA 2644604 - Limiting the available users in the Operator field types (Recruiting Groups) via Manag... for more details.

Thank you, Alejandro. Do I need one job requisition template per legal entity if I have one recruiting group per legal entity?
