Our admin team has a requirement that all workflow email notifications, where they are part of the CC role, should be sent to a specific shared mailbox. This mailbox is already available in Active Directory. Currently, we have created a workflow group called 'XYZ' (as an example) and added the admin team members to this group. The group is then assigned the CC role in the workflow, resulting in all four or five members receiving individual emails.
I am considering creating one generic account in EC called 'XYZ,' assigning the shared mailbox email ID (available in Active Directory) to this account, and granting the workflow permission to the 'XYZ' account. However, I am unsure if this approach aligns with best practices or if there are any data privacy or security risks involved. Could you please advise?
