Onboarding Reminder Emails Settings - reminders trigger

Hello experts,

I am getting quite confused with the email reminders, especially when they are being triggered

If my settings are below:

Set reminder before the due date - ticked:

  •  "Frequency of reminders in days" = 3
  • "Number of reminders to be sent" = 0

 Set reminder after due date - ticked:

  •  "Frequency of reminders in days" = 3
  • "Number of reminders to be sent" = 10

Does the above result in:

Scenario: Due date of the task is 17 December  and task is assigned 1 December

  • Set reminder before the due date:

a) The reminder is sent every 3 days from the day the task is created and assigned to the user 

Scenario: Reminder email gets triggered 4th December (i.e. 3 days after the task is assigned) and every 3 days from the 4th?

OR

b) reminders start to trigger only 3 days before the due date set in Manage Data and then every 3 days leading up to the due date

Scenario: Reminder email gets from 14th (i.e. 3 days before 17 Dec due date) and then every 3 days from the 14th?

 

  •  Set reminder after due date:

a) The reminder is sent every 3 days from the day the task is due and up to 10 notifications is sent every 3 days. After 10 notifications are sent then the reminders stop even if the task is still pending for completion?

Scenario: Reminder email gets triggered 17 December and every 3 days from the 17th? OR Reminder email gets triggered 1 day after the due date so from 18 Dec and every 3 days from 18th?

@Gopinath_Murugaiyan @akarshn your expertise and advice would be greatly appreciated. Client needs clarity for testing purposes

For your scenarios:

  1. The countdown is reversed for the "before" scenario, sending reminders every three days leading up to the due date.
  2. If the number of reminders is unspecified, it defaults to "0," it allows as many reminders as possible until the due date.
  3. This functionality applies to both "before" and "after" scenarios, meaning that after the due date is reached, the reminder is sent the many times it is configured.

Scenario: Reminder email gets triggered 4th December (i.e. 3 days after the task is assigned) and every 3 days from the 4th?

  • Yes

Scenario: Reminder email gets from 14th (i.e. 3 days before 17 Dec due date) and then every 3 days from the 14th?

  • No

Scenario: Reminder email gets triggered 17 December and every 3 days from the 17th? OR Reminder email gets triggered 1 day after the due date so from 18 Dec and every 3 days from 18th?

  • It will trigger 3 days after the due date and the number of times based on the configuration until the task is complete.

I am testing on my demo to confirm the "0" number of reminders. If it still behaves like an old test I did.

I will share the results here, once I have at least a day to "reminders be triggered".

Thank you for clarifying @JacsonMiranda , this is really helpful.

Just one other question - the template (ONB) Start Onboarding process Template with (ONB) Start Onboarding process Trigger - do you have any information on how this works? Based on testing it triggers when ONB PDC step is assigned, but the reminders don't seem to be triggering. Just want to make sure that reminders are supported on this (ONB) Start Onboarding process Template?

Dear @kasebc

Tested on my system as promised.

The "0" on "Number of reminders to be sent" will send as many as possible before the due date.

Dear @kasebc 

Regarding your other question: Yes, the (ONB) Start Onboarding process Template works the same way regarding the reminders.

Check if "Set Up Reminder" is enabled with Frequency of reminders in days > 1 and Due date of task. Based on this, the reminder should work.
