Notification of leaver action, before workflow approval takes place

Hello,

I am trying to find a solution to notify our IT team when a leaver action has been triggered for any employee in employee central; we do already have a 2 step workflow approval set up (which IT are not a part of and don’t need to be) - but we want to notify them BEFORE the workflow is approved as it can sometime be delayed causing potential security risks, and we may need to remove IT access from the leaver before their leaving date. I also want to be able to use a custom notification with specific information on it to send to IT (i.e. not use the standard notification template).

• I don’t want to add them as an additional approver as this could slow the process even further and there is no approval required by them - is just for visibility that a leaver action has been triggered.
• I have tried adding them as a contributor to the workflow, but that will only allow the standard notification template to be used.
• I have tried adding multiple workflows to the leaver action - but that is not possible (as per SAP notes https://userapps.support.sap.com/sap/support/knowledge/en/3286215#:~:text=Resolution,one%20workflow%...)
• Reporting is too late - we need to know as the action is being triggered not after the fact.

Does anyone else have a similar requirement or know of anything else I can try?

Hi Liz,

I think if your client has Offboarding module then you can notify to IT team via email by adding Offboarding task like Asset return.
