Manager Form Eligibility Rules - Variable Pay Management

Hi SAP Community,

we are currently implementing a non-EC integrated VP template.

Customer requested Manager Form Eligibility rules based on Hire Date.

However, this information is only available in EP and cannot be included in the UDF (custom0-15 fields are already blocked).

When checking the Manager Form Eligibility rule settings, I can see the following option:

Does anyone of you know why Hire Date is provided as a default selection?

Does this mean that VP can read the Hire Date from EP, or would the Hire Date still need to be part of the VP form for the rule to work?

Any guidance or suggestions would be greatly appreciated!

Thank you very much in advance and best regards

Ann-Kathrin

 Hi @amuehlbauer

Yes this is the standard HIREDATE field from the UDF that you can select there, yes VP can read from that EP field directly.

All the best,

Xavier

Hi @xavierlegarrec, thank you very much for your feedback. This is good news for us. We added the Manager Form Eligibility rule based on Hire Date (if "Hire Date ≥01/01/2025 --> "Compensation: No"). Also we updated the Hire Date of a test user in the UDF file, so they would be excluded (Hire Date = 01.08.2025). Unfortunately the user is still visible on our worksheets after applying the rule. Do you have any recommendation what we could try or what could be the reason? Thank you very much in advance and best regards, Ann-Kathrin

@amuehlbauer Did you apply the rule then relaunch a worksheet or run an update all worksheets job ? If the worksheet already existed applying the rule isn't enough. I know it sounds obvious if you are an expert of Variable Pay but just checking before I investigate a bit more because a week ago I spent 2 hours working on something reported on this forum (inactive employees aren't being retrieved) when the system admin simply hadn't unchecked the "Active users only" checkbox 🙂 after doing that it turned out they showed up hence there was never any issue to begin with. Thanks!

@amuehlbauer Also, you may want to check that you use the right date format(s) in your rule, for example since I am based in the US when I run an employee export, even though the date that was loaded for an employee in France was loaded as DD/MM/YYYY in Excel I see it as M/D/YYYY. You may want to add an OR in your condition to take into account both date formats and try that as a fix. I open CSV files exported from SuccessFactors in Notepad++ (free light code editor) when I want to check that quickly.

Hi @xavierlegarrec, thank you very much for your feedback. This issue is resolved. The date did not cause the issue because it was set up as 01/01/2025. However, the issue was resolved by first applying eligibility before launching the worksheet. First launching the worksheet and afterwards applying eligibility + update worksheet did not work. Thank you very much again. Best regards, Ann-Kathrin
