How do you create an import format to termination an existing BrokerRoleBroker record and create an new BrokerRoleBroker record on a producer record?
Request clarification before answering.
Hi Janet,
When you use the Search screen you can filter records based on the criteria that you want.
Once you have the desired filtered records, you can then sort by Expiration Date to view records with no expiration date. You can select the records with no expiration date then bulk update the selected records or you can bulk update page by page until you have updated all the records that you have targeted for termination. HINT: You can customize the search screen to display up to 500 records on one page so you can reduce the number of bulk operations if there a lot of records to update.
I will write a Blog on Creating an Import Format in the next week. Stay Tuned!

Thank you Phillip.
A question on Terminate existing Records:
1. Does the process know to only term those that are not already termed? If so, excellent. If not, how do I filter the search to only include the non termed records.
Adding new Broker Role Records
Unfortunately, I am not familiar with creating an import format. I would LOVE to learn how to.

Hi Jessica,
So there are a couple of ways to do this, I will describe the way i personally would do this task.
Terminate existing Records:
1. Navigate to the Producer Role and Search for the records that you want to terminate.
2. Once you have filtered/selected the records, select the 3 dots in the upper right5 hand corner of the screen and select Bulk Change.
3. Select the Radio button for All Records Matching Criteria ... Please note that this will also include records not shown on the first page.
4. Double Click the Expiration Date field to move it from the Available Field box to the Selected Field box. Optional: Enter a comment that will be visible in the Comment box on the Record to help identify records that were updated as part of this process.
5. Click Next and then Apply. Noting and Confirming the number of impacted records.
6. Confirm the records were terminated properly.
Adding new Broker Role Records
1. Filter and select the Records that were just terminated. You may want to Customize the screen to provide the fields that you want.
a. Fields should include at a minimum
2. Export the records from the Search Screen
3. Modify and Save the Spreadsheet to Include only (Making Sure column header matches the spelling and case of the fields in APMe):
BrokerId - Add new BrokerId
DatEff (Update this field to the new effective date)
BrokerRoleID - Add this column and populate with the BrokerRoleId
Scoped Entity (CustomerId, BrokerId, PolicyId)
OwnershipPct
4. Once you have the data in the format needed, you will create the Broker Role Broker Import format and map the spreadsheet into the Broker Role Broker fields.
My assumption is that you know how to create an Import format but if not please respond, i can can attempt to add more detail here.
I look forward to your response!
