e-recruiting / e-recruitment : Placement Agencies/ Consultants

Dear Expert,

We are in process of implementing e-recruiting module for our client.

We need the guidelines for the following requirement ..............

Client want to send the vacancy requirements (job publications) to placement consultants through SAP.

And the placement agencies/consultants need to send the profiles/CV (through integrated portal_what ever it is) and these candidates details shall be available when recruiter search for candidates .

Request you to throw some light/guidelines to understand the available functionality in SAP in this regard.

Need to understand what kind of integration is required.?

Need to understand what kind of system required by Placement consultants/Agencies to do integration/interface

Is there any page in e-recruiting module meant for placement consultants like external candidate..

Please provide me the links/ details available in standard functionality for this requirment and how do i can go about this.

u2022 Requisition Management

o Work Center

The Work Center contains a dashboard that provides recruiters with an overview of the worklists that they must process to complete their tasks in Requisition Management and Application Management. Key performance indicators (KPIs) show recruiters where they need to take action and enable recruiters to navigate directly to the individual requisitions, for example, to complete them.

o Requisition, Job Posting, Publication

The new user interface for creating a requisition is now structured more clearly and consists of just 4 tab pages that contain all relevant information. The tab pages group together the general job information, the requirements for a candidate, the support team, and the job postings with all publications. In this way, recruiters can create requisitions, associated posting texts, and publications faster and more intuitively.

u2022 Applicant Tracking

The dashboard provides recruiters with a complete overview of Applicant Tracking for all requisitions or just their own requisitions. At a glance, the recruiter can see how many candidates are in the individual processes and need to be completed. Via the dashboard, the recruiter can navigate directly to the processes and to the candidate selection for the individual requisitions.

u2022 Activity Management

Pushbuttons are available that enable recruiters to create the most important activities quickly and easily.

An application wizard supports recruiters in creating the relevant activities. The application wizard provides recruiters with an overview of all existing activities for one or more candidates. Recruiters can change or delete these activities directly. The activity wizard also displays all activities that recruiters may also find useful to create.

My query is that how placement consultants/Agenceis can enter the candidate details /Application details against the job publication. Is there any link /page where placement consultant can enter the details of candidates whose CVs matches the requirements called for by the mentioned job publication

Secondly, how recruiter can send the job publications to placement consultants (other than e-mail) through System.

Hi Badri,

Data Entry clerk is a role available which can be used to enter External applications. you can check out the below SAP help link for reference.

It is also required to create Agencies of Third-Party providers using Maintain agencies service under the E-Rec administrator role.

Thx a lot for the info.

This has been known to me and the recruiter can assign the CVs through talent relationship management which is available for Recruiter, upon the Agencies/consultant list got created by administrator.

However, would like to know whether data entry cleck can directly assign the relationship with the Agencies/consultants, while doing the applications entry.

Also like to know regarding external candidate.

When we click on the link of external candidates, it is asking for registration.

Is there any link to enter the details without registration by external candidate . If available, we need map the same to employee referal scheme. So that, Internal Candidate can enter the details of his referring candidate with out registration.

Hope, you got me what is our requirement.

Please suggest me in this regard

will use the 'Create External Applications' link on the e-recruiting to enter paper applications. Agency can enter few mandatory data such as First Name, Last Name, Job Ref.Code, email id etc and upload the attachment. This saves lot of time for Agency as well.

Also SAP provides standard WD ABAP application for external agencies to Submit CV on behalf of the candidates.

Only preq is that you to maintain the Agencies details

Hope, that we need to create reference user for this activity and need to assign role for the reference user.

Request you to name the role that we can assign to this referecne user.

We are using only bsp pages (Hope, we can use this page for entry of external application: HRRCF_APP_E_EXT)

Please provide the link taken from your pc for this.. So that, the same can be check up.

We are getting some error for us when we are trying to test the same using se80

Hi Badari,

how recruiter can send the job publications to placement consultants (other than e-mail) through System.- This requires direct integration with the service providers. Or from SAP , Admin can send a html file to job portal admin & job portal admin will upload the same in their servers.

Rest you query about avoiding registration- It is very well possible but as email is mandatory field the system creates user id for the same in background. Once this email id get registered agecy can not post same resume / email id unless & untill E-Rec admin deletes the unregistered users.

Hi,

you can generate URLs via report RCF_GENERATE_URLS.

If you open the hrrcf_app_e_ext you can choose third party as application source. If you maintained agencies within your system, you can then choose the appropriate agency.

Agencies which call this BSP directly (must be maintained correctly), are assigned as agency application source automatically. The application source part is then hidden.

I already done as mentioned. However, it is asking for user id and password. I beleive, we need to create User IDs in R/3.

Is there any link where i can enter details of extenral/ internal Applications without user id and password

Secondly, how can i publish the Requistion details to consultants/ Agencies thorugh Recruiter.

Please suggest/help me in this regard ASAP

Hello,

Firstly the candidates entered by Agencies/Consultants will not automatically appear in search as they will be blocked. The system search shows candidates who have only accepted the 'Privacy Statement' for the company which is shown in HRP5102:PRIVACY_STATUS. Do you let the candidates be notified that their profiles have been submitted to you or you will communicate only through the agency? If you will communicate with the candidate then you have to send them an e-mail with the system generated user and instructions how to get a password which they can use to login and then release their profiles. Automating the privacy will have legal implications in case the candidate thinks you have misused the data - but of course this varies from country to country.

Regarding how the agencies can access the system, as explained you have to generate URL and then palce it maybe in your website for example. You then have to create users for each of the agency which they can use to login so that not everyone will be able to access this application - you have to generate the users using RCF_CREATE_USER program. You will then create an application source in configuration. Through Administrator role you will then create an agency and then assign the application source as well as the user directly or through support groups if you are on at least EhP3. Once the user assigned to the agency submits a candidate, the system will automatically assign the application source in HRP5132 so you can know the agency which submitted the candidate. if you assign the roles correctly to the agency this will be automatic without user selecting the agency.

Regarding posting to an agency, you do not have this in the standard system. in my opinion you have to look at the number of agencies that you have as a company. If a few, you can just configure each as an posting channel then in the publisher class you put the logic to send an e-mail to the agency with the posting details which are required. If they are many, then I would maybe create a single channel with additional screen to select the required agencies from the least. The screen will appear once you select the agency channel. You will then have nth class to send an e-mail to the selected agencies with a table where you have to save the selected agencies.

The other issue will be the selecting of the posting while submitting an application. You have to see whether the agency should see all the posting / application groups or only where the agency is selected by the recruiter while posting.

HI

RCF_CREATE_USER is meant for Internal users and candidates.

To maintain this, we need PERNR and we can't maintain PERNRs for External Agencies /Consultants in PRD. Dummy PERNRs can't be maintained in PRD System.

Please suggest the way forward in such cases.
