How to create custom tokens in SF for using in email notification

It depends on where the 'category' filed is configured. Can you please confirm where the 'category' filed is currently configured i.e. in BCUI (if possible- send me the HRIS element and HRIS Field name) or MDF object (if possible- send me the object name).

I presume the employee/manager will choose a category from the category filed and WF will get initiated based on the category they chose. If so, you can add custom tokens using [[text]] in the 'Document Generation Template' tool (refer to screenshot) and map custom tokens to base object > target field in 'Manage Document Template Mapping'.
You can also try 'rule' as Mapping Type (refer to screenshot) if that helps.

Thank you so much for the detail explanation, I am facing the challenge in assigning the value to the custom token, as explained earlier I have pick list for category and the user will select the category before he submits the workflow, in the email I want to show the selected category value to the approver, in the target field the category will not be displayed, how to capture the selected category so that it can be displayed in the email, do we need to write some rule to capture the value?

Are you referring to recruiting email notification using 'Manage Recruiting Email Templates' or EC email notification using 'Manage Document Template'?

Hello, We cannot create custom tokens in SF but can use only standard ones. For list of standard tokens available, you can check Workflow handbook.
