SAP SuccessFactors Tracking solution is a new product and customers need to purchase it before this functionality can be switched on within the SAP SuccessFactors instance.

Timesheet functionality provided along with Employee Central Time Management has limited features while the New Timesheet UI available with the SAP SuccessFactors Time Tracking solution supports Time Tracking features along with many other enhancements based on its roadmap.

SAP SuccessFactors Time Tracking solution addresses customers need to have a comprehensive solution to record employee time, valuate and administer employee time-which can then be used for employee payments.

SAP SuccessFactors Time Tracking solution provides functionalities to:

  • Record employee attendances through integration with external 3rd party clocking system or by using SAP SuccessFactors web/mobile time recording application.

  • View, create, delete, and administer employee time recordings and

  • Process the recorded input for payroll

Clock in Clock Out is a functionality that helps to record, validate, and pair time events. To enable consultants in the implementation of this new product, we have recently published an Implementation Design Principle document - SAP SuccessFactors Time Tracking – Clock In Clock Out Configuration Considerations, that focusses on the Clock In Clock Out functionality of SAP SuccessFactors Time Tracking solution. It explains the functionality in detail, provides configuration guidance and discusses some commonly faced challenges during its implementation.

Configuration Considerations: Following diagram shows the configuration sequence one needs to follow to set up Clock In Clock Out in SAP SuccessFactors instance.

Once “SAP SuccessFactors Time Tracking” and “Clock In Clock Out” are enabled in provisioning, you can check their status by navigating to Manage Employee Central Settings in the instance. Please note that the status is only viewable from the instance.

Time event is generated when an employee’s swipe/punch is received by SAP SuccessFactors Clock In Clock Out Service. Each Time Event identifies the employee for whom it is created along with details of event-what happened and when.

The Time Event is classified with the help of Time Event Types to identify employee’s activities. Example ‘Clock In’ means start of work.

Clock In Clock Out Groups need to be created before these are assigned to the employee.

All the Time Event Types that an employee/group of employees are eligible for can be grouped together in a Clock In Clock Out Group. Different groups of employees can have different types of attendances that are allowed for them for e.g., ‘Business Trip’ may be allowed for employees in a certain job level/job role of an organization. Thus different employee groups may be eligible for different set of Time Event Types. Hence multiple Clock In Clock Out Groups need to be created based on business requirement.

Clock Terminal Vendors can replicate the Clock In Clock Out Employees to Terminal Server via OData API for validation purposes.

Workflows can also be configured for managing manually created time events and for deletion of any time event in Clock In Clock Out. Such scenarios may arise for example when terminals are not working properly.

Time Event validation and Pairing are important for time data processing and valuation. Please refer to the implementation Design principle document SAP SuccessFactors Time Tracking – Clock In Clock Out Configuration Considerations for detailed scenarios.
