Overview:

With 2H 2024, SAP SuccessFactors Onboarding has introduced additional enhancements to the Internal Hire process. These updates bring workflow support, cross-entity rule support, and position updates for internal hires initiated from SAP SuccessFactors Recruiting.

This blog explains the configuration options, validation mechanisms, and best practices for maximizing the benefits of these enhancements, ensuring a smoother and more efficient internal hiring experience.

Look back at the 2H 2023 release when we made the feature “Enable Enhanced Internal Hire Process” Automatically on. This feature leverages capabilities of Centralized Services in SAP SuccessFactors Employee Central, offering data consistency between Recruiting and Employee Central.

Let’s roll back to the 2H 2024 release when we released the additional feature “Enable Additional Internal Hire Activities” to provide such as workflow support, cross-entity rule support, and position updates for internal hires initiated from SAP SuccessFactors Recruiting.

These switches are available in the Admin Center -> Onboarding General Settings page.

These switches are applicable only for internal hires initiated from the SAP SuccessFactors Recruiting flow.

Let us deep dive into these configuration options, validation mechanisms, and best practices for maximizing the benefits.

Let me refer to Switch 1 and Switch 2 as below.

Configuration Switches

Switch 1 is made Automatically ON and you must keep this switch ON.

Note: This switch will be universal in 1H 2025.

Switch 2 is added to support functionalities such as workflow support, cross-entity rule support, and position updates which were not available with Switch 1.

If you wish to use workflow support, cross-entity rule support, and position updates then you must switch on both (Switch 1 +  Switch 2)

Recruit to hire data mapping

RCM-mapped data is saved in EC  on successful validation. Existing EC data will be retained if Data is not mapped from RCM.

Data Validations

Data validation and Data saving for HRIS entities are supported by Centralized Services in SAP SuccessFactors Employee Central.

The process aligns with MSS UI save and validation ensuring all necessary validations are triggered before initiating cross-boarding.

The process aligns with the Recruiting - Employee Central (EC) internal hire flow, ensuring all necessary validations are triggered before initiating cross-boarding.

Functionalities

Workflow support, cross-entity rule support, and position updates for internal hires are not supported with Switch 1 “ ON”.

Rule Context

Rule Context should be set up as “Onboarding” = Yes and the rest other as “No”.

Note: The existing rule with “ESS/MSS = Yes” will get executed for Initiate Cross boarding.

If you want to execute rules for ESS/MSS UI’s but not for crossboarding then please review and change the rule conditions to avoid validation errors.

You can set rule context “ ESS/MSS = No” if rules are not expected to be executed for Crossboarding or ESS/MSS UI’s.

Frequently asked questions:

1. Why are validation errors shown on the initiate onboarding for internal hire after enabling switch 1 or switch 2?

Ans: With this enhancement, EC HRIS entity data save is done using Centralized services in SAP SuccessFactors Employee Central which validates data consistency between Recruiting and Employee Central. To start the Internal Hire Process successfully, with the workflow and position follow-up updates, you need to ensure all required validations are met. This includes position-related checks and other EC Entities Onsave or Onchange rules execution.

2. What are possible ways to check and resolve position validation errors?

Ans: Please refer to the below example for error and possible resolution

  • Error: "[jobInfo]: You have selected a position that can only be assigned to one employee at a time."
    Solution: Verify the target position and adjust the start date or FTE (Full-Time Equivalent) accordingly.
  • Error: "Assigning this employee to the selected position would result in multiple incumbents on two occasions during the period from … until … Please choose another position."
    Solution: Check the target position and ensure it is available for the intended start date.

3. What are possible ways to check and resolve Pay Component Recurring Errors?

Conclusion:

The "Enable  Additional Internal Hire Activities" switch ON ensures alignment with the Recruiting-Employee Central (EC) internal hire flow, triggering all necessary validations before initiating the process.

Manages data persistence and data validation between Recruiting and Employee Central using  Centralized services in SAP SuccessFactors Employee Central enhances validation accuracy.

Backend data validation in Onboarding is improved using Centralized Services functionalities in Employee Central.

Hi @smitajalit : We have enable the new features for the crossboarding and setup a workflow. It is working fine but Start Date is always default to Todays date. Even we have given a future Hire date in Recruitment module.

We have triggered a crossboarding from RCM module but start date is updating same as todays date.
