As part of 1H2025 release, SAP SuccessFactors has released a new feature for Talent Intelligence Hub (TIH) which allows customers to have more control on Attribute's proficiency maintained by employees in their Growth Portfolio. This new feature now allows to configure workflows to approve the proficiency level changes for an attribute. This is the same workflow engine as used for Employee Central transactions and works in same principle.

So let's understand this feature in detail and see how it needs to be configured and how it works.

Step 1: Create a Workflow - In this blog I will take an example of 1-step approval with Reporting Manager, for detail information on creating a workflow, please click here

Following are few basic steps of creating a Workflow :

  • Go to Admin Center > Manage Organization, Pay and Job Structures and click on Create New Workflow 2025-05-19_23-33-00.png
  • Then below screen will come, where you should maintain the highlighted detail, while creating the workflowScreenshot 2025-05-19 234004.png
  • There are few more steps, however they are optional and based on customer requirements those can be utilised as appropriate like Step 2 for 2nd level approval, Contributors and CC Role.Screenshot 2025-05-20 001549.png
  • Lastly save the workflow and remember the name of the workflow.

Step 2: Creating a Business Rule - In this blog I will create a rule, such that whenever proficiency is changed for 'Skill' Attribute Type and which is Tagged as Core; then a workflow gets triggered. For detail information on creating a Rule, please click here.

Following are few basic steps of creating a Business Rule:

  • Go to Admin Center > Configure Business Rules

  • Navigate to the Talent Intelligence Hub rule scenario category and select the Configure Workflow for Assigned Ratings in the Growth Portfolio scenario.Screenshot 2025-05-20 003020.png 
  • Then below screen appears at right side of the screen, here specify the name and other details for the rule and choose Continue.2025-05-20_00-35-19.png 
  • Now in next screen configure a business rule for the scenario.
    • NOTE: Ensure that you obtain the external code for the required attribute type and tags from the Attributes Library before setting the criteria for the rule.Screenshot 2025-05-20 005825.pngScreenshot 2025-05-20 010027.png 
    • Follow the steps as highlighted below to select Attribute Type > External Code

       Once selected then, set the Attribute Type > External Code as 'SKILL'Screenshot 2025-05-20 010200.png 

       

    • Now add another 'AND' condition 2025-05-20_01-02-56.pngthen, click on '+' sign beside 'and' then select the Tag as 'Core', follow nos. 1,2,3,4 for the steps2025-05-20_01-08-49.png

       

    • Now add the 'Then' condition Screenshot 2025-05-20 011527.pngthen, follow the nos 1,2,3 to Set Workflow configuration and select the Workflow created in Step 1 and finally save the rule.2025-05-20_01-18-52.png

       

  • This is how the complete rule looks now, and when an employee modifies the proficiency level of an attribute of type SKILL which has the Core tag, a workflow is triggered and the designated reviewers of the workflow are notified of the approval request.Screenshot 2025-05-20 012317.png

     

Step 3: Assigning the Rule to the Rule Configuration Object - Once the rule is configured and associated a workflow to the scenario, then associate the rule to the scenario.

  • Go to Admin Center > Manage Rule Assignments.
  • Select Rule Assignment and the Configure Workflow for Assigned Ratings in the Growth Portfolio scenario from the Search drop-down fields.
  • Choose Take Action > Make Correction and assign the rule from the Assigned Rules section.

So let's test the Workflow set up for Proficiency Level Changes of an Attribute in Growth Portfolio:

  1. Go to Growth Portfolio of employee(Aanya Singh in this example), search for an attribute with Tag 'Core'Screenshot 2025-05-20 014335.png
  2. Once the attribute of type SKILL is added, which is also having a Tag of Core; click on Edit ProficiencyScreenshot 2025-05-20 014547.png

  3. Then below screen appears which highlights that any proficiency change will trigger a workflow, as it has met our Business Rule condition of an employee modifying the proficiency level of an attribute of type SKILL which has the Core tag, hence a workflow will be triggeredScreenshot 2025-05-20 014839.png

  4. Now change the proficiency from Not Rated to 3 and click on Save; then a pop-up window will come to enter comments (optional) for reviewers and click on Submit.Screenshot 2025-05-20 015432.png

  5. Once submitted, the workflow gets triggered and the attribute is locked and can't be modified. Now in the screen it shows Approval Request Submitted against the attribute name.Screenshot 2025-05-20 015943.png
  6. After few seconds the Growth Portfolio UI will show the Skill as Approval Pending with a hyperlink, displayed next to the attribute. This link will help employee to see with whom the workflow is pending.Screenshot 2025-05-20 020313.png

  7. Now approvers (Aanya's Reporting Manager Charles Braun) of the workflow will receive a request to approve the proficiency level changes for an attribute. Approvers can review the request and act on it.

  8. Login as Manager (Charles Braun) and go to the Home Page and Under the Approvals section, locate the approval request and act on the request. (one can approve multiple requests at same time)Screenshot 2025-05-20 020650.png
  9. Also Manager can click on 'Change to proficiency level' link to go to the Workflow details page to see specific Attribute details and change in proficiency, and then they can either Approve, Delegate or Reject the request.Screenshot 2025-05-20 020935.png

Key Points to note:

  • Configuration Requirement:
    • Growth Portfolio is enabled.
    • The workflow is configured.
  • Role Based Permission Prerequisite:
    • Role should have User Permissions > Growth Portfolio > Growth Portfolio > Edit permission.
  • Currently, the proficiency level approval status is displayed on the card and list views only.
  • When the request is approved, the attribute is updated with the new proficiency level.
  • When the request is rejected, the attribute displays the current proficiency level and becomes editable again.

Hope this feature will help customers to have an increased governance in changing the proficiency level for attributes.
