📌Background

In the world of SAP SuccessFactors Incentive Management, managing report servers efficiently is crucial—especially when dealing with large volumes of data(PDFs). Over time, report servers can become cluttered or reach capacity, leading to performance issues and administrative overhead.

To address this, SAP SPM (Professional Services, Optimization Serv Business Operations) jointly with SAP SPM Technical Support team has introduced a custom solution called ARCReps (Archive Reports), designed to simplify and automate the management of reports on both HANA and Oracle-based environments.

🚀What is ARCReps?

ARCReps is a custom-built utility that helps customers manage their report servers more effectively. It is particularly useful for:

• 🔄 Exporting reports in bulk – Ideal for archiving or migrating reports.
• 🧹 Cleaning up report servers – Frees up space when servers are full or nearing capacity.
• 💾 Backing up reports externally – Ensures important data is preserved outside the SAP environment via Integration (using dropbox from Outbound folder to your blob Storage) - This process will be driven by SAP Professional Services or Optimization Team through Consulting.

Note : This is not available for Partners to drive the process..

This tool is especially relevant for customers using legacy systems on HANA or Oracle databases within the SAP SuccessFactors Sales Performance Management suite.

🛠️ How to Enable ARCReps

ARCReps is not enabled by default. To activate it in your environment, follow these steps:

1. Open a SAP Support Ticket with Medium Priority for Component  CEC - SAL - COM.
2. Include the following information:

• ✅ Business Reason – Why you need ARCReps.
• ✅ Approval – Internal or managerial approval for the request.
• ✅ Design Document – A brief outlining how ARCReps will be used.
• ✅ Additional Information – Any other relevant context or technical details.

⚠️Important Considerations

• SAP Support does not provide direct support for ARCReps, as it is a custom solution.
• SAP can only assist in isolating issues related to ARCReps, not in troubleshooting or maintaining the process.
• Ensure your internal teams or implementation colleagues are equipped to handle ARCReps operations.

To get the most out of ARCReps:

• Schedule regular exports to avoid server overload.
• Maintain a versioned backup of exported reports for audit and compliance.
• Document your ARCReps process internally to ensure continuity and clarity across teams.
• Test in a sandbox environment before deploying in production.
