Job Information Manager Self-Service Now Displays Filtered Events Based on Event Reason Permissions

We're excited to share a new feature that significantly improves the user experience for managers using the "Change Job and Compensation Information" self-service transaction in Employee Central (EC). This enhancement addresses a highly voted feature request from our users (customer idea 48935), making the process more intuitive and efficient, particularly for customers who have set up their system to allow managers to manually select the Event and Event Reason.

The Challenge

Previously, managers faced a cluttered dropdown list of events, even if they didn't have permission for any of the associated event reasons. This often led to confusion and inefficiency when managers selected an Event and there was no single Event Reason available in the respective dropdown. In a nutshell, managers had to sift through irrelevant options.

The Solution

With our 1H 2025 update, we've introduced a filter to the Events dropdown list. Now, managers and admins will only see Events for which they have permission for at least one Event Reason which is active and valid for the selected date. This means that if a manager lacks permission for all event reasons tied to a specific event, that Event will no longer clutter their dropdown list. The same applies if there is no single active and valid Event Reason configured on the selected effective date.

How It Works

Let's break it down with an example:

Event Reasons Configured

There are many different Event Reasons configured in the system, usually several for each Event.

  • Data Change - Local Job Title (associated with Event Data Change)
  • Promotion - Pay Change (associated with Event Promotion)
  • Promotion - No Pay Change (associated with Event Promotion)
  • Transfer (associated with Event Transfer)

Manager's Permissions to Event Reasons

Managers typically have access to a limited set of Event Reasons, focusing on those essential for performing their duties effectively. Permissions control this access.

  • Data Change - Local Job Title
  • Promotion - No Pay Change 

Manager has permissions for 'Event Reasons Data Change - Local Job Title' and 'Promotion - No Pay Change' but does not have permissions for 'Promotion - Pay Change' and 'TRANSFER'Manager has permissions for 'Event Reasons Data Change - Local Job Title' and 'Promotion - No Pay Change' but does not have permissions for 'Promotion - Pay Change' and 'TRANSFER'

Events available in the Manager Self-Service Change Job and Compensation Information

When this manager accesses the Change Job and Compensation Information page, they will only see the following events in the dropdown:

  • Promotion (because they have permission for the Event Reason Promotion - No Pay Change, which is associated with this Event)
  • Data Change (because they have permission for the Event Reason Data Change - Local Job Title, which is associated with this Event)

Managers see Events only if they have permission for at least one associated Event ReasonManagers see Events only if they have permission for at least one associated Event Reason

 

Events like Transfer are excluded because the manager lacks permission for any associated Event Reason. This helps them focus on relevant options. This functionality is also mirrored in the Job Information History, ensuring consistency across the different UIs.

By optimizing the dropdown list, we are committed to elevating productivity and empowering managers to concentrate on their core responsibilities with greater efficiency. Note: With the H1 2025 release, the new feature becomes available when managers first select Job Information in the transaction. However, if managers select Compensation Information before Job Information during this manager self-service transaction, they can view Events including those without an associated Event Reason for which they have permission.
