In the new 1H 2025 release, administrators will find some interesting and helpful improvements around Manage Document Services.

One focus of the upcoming release was to enhance our Manage Documents page to provide an intuitive and well-structured user interface, aiming to simplify interaction and optimize the structure of information.

Let's take a closer look at these significant updates and how they enhance the user experience.

The Manage Documents  page has been redesigned to offer clearer access to various information with three central tabs: "Documents," "Document Categories," and "Document Storage." This structure helps users quickly find and organize the information they need.

What’s in the Documents Tab?

The "Documents" tab is centered around providing a comprehensive overview of all available documents. It has been enhanced to include additional metadata and filtering options, allowing administrators to access document details swiftly:

  • By default, Document Entity and Document Category are now included as list columns. Other metadata are available too and can easily be added to the list, using “View Settings”.
  • The "Uploaded By" information now combines the user’s first and last names, providing a more natural appearance . If the user prefers to have each information in a single column of the list – “View Settings” will make that possible too.
  • Additionally, we introduced a new Advanced Filters option that allows administrators to list all documents that are not associated with any document entity type and document category. These documents were previously categorized under “Other” in Document Storage but couldn’t be identified in the result table. 

Hello Document Categories Tab!

Previously lurking in the shadows, managing document categories have now emerged into the limelight with their very own tab. Administrators can now easily view and manage existing document categories as well as create new ones:

  • A new, intuitive dialog allows users to create custom document categories. Once saved, these custom categories appear at the top of the list, instead of its end, enhancing clarity.

  • The new feature that allows sorting the list by Document Entity or Category Type empowers administrators to focus on the information they are currently most interested in, whether that means viewing all custom document categories at a glance or listing all categories created for a specific entity type, regardless of whether they are predefined or custom created.

Everything’s Here at Last: Document Storage Tab. 

Ever felt like playing detective just to figure out what’s eating up your document storage? Those days are over! The Document Storage tab finally provides a complete overview of all categories contributing to storage consumption:

  • By removing the elusive "Others" category, showing all existing document categories, and adding the new “Uncategorized ” category exclusively for documents not tied to any entity type and document category, administrators now get full visibility into how each category contributes to overall storage consumption. 
  • The previous "View More Information" feature has been thoughtfully removed to streamline the user experience. By focusing on reliable, essential data, this update decreases confusion and enhances overall clarity, ensuring that users access the most meaningful information without distraction.
