Recently, I encountered an issue where the performance and potential ratings displayed in the Talent Review form’s 9-box grid did not match the mini matrix grid shown on the Talent Card. This inconsistency could lead to confusion and affect succession planning decisions. In this blog, I’ll Walk you through the problem, the troubleshooting steps I took, and how I successfully resolved the issue to keep ratings synchronized across all views.

Issue Overview

In SAP SuccessFactors Talent Management, employees receive performance and potential ratings through a Talent Review form. These ratings generate a 9-box matrix that helps talent calibration and succession planning.

Succession planners use the Talent Card, which contains a mini version of the 9-box matrix, called the mini matrix inside the Performance & Potential section. This mini matrix should accurately reflect the ratings from the Talent Review form.

Issue Identified:
For one employee, the ratings in the Talent Review form and the mini matrix on their Talent Card were inconsistent, resulting in different 9-box placements. Since both are based on the same evaluation process, the ratings should be identical.

Troubleshooting Steps

I followed a step-by-step approach to diagnose and fix the problem:

Step 1: Matrix Grid Report Source Configuration

  • Action Taken:
    Navigated to the Matrix Grid Report – Performance-Potential and reviewed the data sources for the X-axis (Performance) and Y-axis (Potential).
  • Observation:
    The data source was set to “All Data Sources” which could pull inconsistent information.

  • Change Made:
    Updated the source to “Talent Review” to ensure the ratings were sourced directly from the Talent Review process.

Step 2: Validate Processes and Forms

  • Action Taken:
    Accessed Processes and Forms and opened the “Talent Review” process.
  • Observation:
    Only an older Talent Review form was selected; the current 2025 Talent Review form was missing.

  • Change Made:
    Selected the “Talent Review 2025 Template” and checked the “Include In-Progress Documents” box, allowing data from ongoing reviews to be included.

Step 3: Review People Profile Settings

  • Action Taken:
    Navigated to Configure People Profile and on General Setting.
  • Checklist:
    • Checked that the Talent Data Date Range did not match the active review cycle.

    • Therefore, I changed the dates to the active review cycle.
    • Ensured “Include Talent data from this process” is set to “Talent Review”, consistent with the process selected in Processes and Forms.
    • Ensured “Include In-Progress Documents” was enabled here as well.

Step 4: Talent Card Configuration

  • Action Taken:
    Opened Manage Talent Card, selected the Succession Talent Card, and accessed the Performance & Potential section.
  • Fix:
    Made sure the option “Use employee profile rating configuration” was enabled. This ensures that the mini matrix on the Talent Card pulls ratings consistent with the employee profile and Talent Review form.

Final Resolution

After implementing these changes:

  • The performance and potential ratings in the Talent Review form, Employee Profile, and Talent Card mini matrix became fully synchronized.
  • Succession planners now see consistent 9-box data across all tools, improving the accuracy and reliability of succession planning.
