New functionality to perform promotion action directly to the job information record, was made available in compensation worksheet starting the release Q3 2016. This was further enhanced in Q4 2016.

Enabling Compensation-EC Promotion Integration


Compensation-EC promotion integration has to be enabled in Provisioning.

Go to Actions for all plans > Company Settings and select the option ‘Enable Compensation-EC promotion integration’.


Enabling permissions


Additional permissions are needed for Manager’s and other users who should access the new promotion functionality.

In ‘Admin Center’ search for ‘Manage Permission Roles'.

Permission in ‘Employee Central - Compensation Integration’ under ‘User Permission’ section has to be enabled.



If ‘View’ is only selected for a particular permission, that particular field will not be editable in the worksheet.

If ‘Edit/Insert’ is selected for a particular permission, that particular field will be editable in the worksheet.

Note: The permission ‘Edit Link’ must be selected so that the option ‘Promote’ is available in the worksheet.

Fields selected in this section will be available in the worksheet.

Configuring Compensation Plan template


To enable Compensation-EC Promotion Integration in the Compensation Plan template,  includeJobSelector option must be set to True in xml.

Job Family, Job Role, Job Code, Pay grade, Final Job Family, Final Job Role, Final Job Code and Final Pay Grade fields should be included in the template along with job selector.

A new component type called ‘Promotion’, is available to map the promotion related fields in the Compensation plan template.

The fields Job Family, Job Role, Job Code and Pay grade will have to be mapped to the appropriate fields in jobinfo by selecting ‘EC Category’ as ‘Job Information’. Attributes ‘Reloadable’ and ‘Read-only’ should be set to ‘True’.



The fields Final Job Family, Final Job Role, Final Job Code and Final Pay Grade, should have attributes ‘Reloadable’ and ‘Read-only’ set to ‘True’. Also, ‘EC Category’ should be ‘EC Promotion’. ‘EC Field’ can be left blank for all these fields. These fields may be hidden from the worksheet.


Mapping for ‘Final Pay Grade’


The ‘finPayGrade’ field should be mapped to the ‘payGrade’ field with ‘EC Category’ as ‘EC Promotion’, so that, the newly selected paygrade value will be displayed in the 'finPayGrade’ field.



 

XML code for publishing to Job Information


The xml code needs only componentType and effectvieDate attributes. This has to be added in addition to the publish code for compInfo.

Below option has to be disabled in Provisioning


Enable youCalc rules engine for HRIS — requires “Employee Central V2 (i.e., Event Reason Derivation)”, “Enable Generic Objects”, “Effective Dated Data Platform”, “Employee Profile data audit” and “Enable the Attachment Manager”


Promoting Employees


After the above configurations are done, newly launched forms will have ‘Promote’ link.



Clicking on the promote link will display job information fields for the employee, based on the permission for the logged in user. In this example, fields in the section ‘Organizational information’ are not editable.

Appropriate ‘Event’ has to be selected. ‘Event Reason’ field will be displayed once the ‘Event’ is selected.



Appropriate changes are to be done to fields in job information section and the record has to be saved by clicking on ‘Save’ button.


Deleting a promotion record


Click on the ‘Promote’ link for the employee. The existing promotion record will be displayed. Click on the ‘Delete’ button.



Click on ‘Yes’ in the confirmation message to delete the record.


Promotion information published in EC


Promotion will create a new record in job information based on the selection made in the worksheet and effective date of publishing.

Job information record created in EC is given below

Hello Vinod,

I have a question on the effective date of pay component recurring regardless if it is comp pay increase or promotion. Is there a way to integrate effective date from the  EC Pay Calendar based on the  employee pay group from comp info or still we have to built a lookup table?

Hi Thamina,

If this info was in a field in EC comp info, we could have mapped it to a field in the worksheet and used the same. I do not know of any method to derive it from the pay calendar.

Hi Vinod,

I'm a beginner in Compensation. When i set Effective Date in Employee Central Settings screen, the notice is: "Changes failed. Failed to save template". What is the reason of this notice?

so if event reason derivation is enabled, how does it work.

I'm facing error "Unable to determine the EventReason for the proposed change(s)" while promoting.

I have a clarification question to make regarding the promotion integration from Compensation to EC module. Except of the job information publishing, which is the way to update also the Position Org Chart?

We performed a test in the development environment of the client inserting a promotion through the Compensation Form. Then, we published successfully the changes in the Job Info portlet. The fields that we changed were Job Classification, Pay Grade and Supervisor. While the fields where correctly updated in the People Profile, when navigating to the employee's position through the Position Org Chart, the changes where not applied there.

Furthermore, in case the Compensation Planner changes the position of an employee who has direct reports, will this employee continue to have the same direct reports? Will the positions of his direct report be updated with the new position of their manager whih was caused due to the Compensation Promotion Integration?

To Sum up:

1. How can we update also the employee's position according to the changes in job info portlet after the promotion publishing? 

2. How can we update the positions of employees that have the same manager but their manager received a position promotion change?

@dsarzisartori we cannot publish directly into the Position Org Chart unfortunately.

 

The leading practice is to publish only to Job Info fields and not allow Managers/HR to change the position when using the EC-Promotion feature.

Thank you for your answer. Another question. If we configure the Rule for Synchronizing Job Information to Position in Position Management Settings --> Synchronization, would this solve the problem?

So,

1. the managers/HR can use the Standard Promotion tab to edit the position or also change it with a new one. 

2. after the completion of the process, we publish the new position in Job Info

3. The question is: will the promotion publish coming from Comp Home trigger also the writeback rule in order to have the values of Job Info updated in Position Org Chart?

Another question is, even if the synch rule does work, is this a safe solution to suggest or in any case it is prefferable consulting wise to propose either the standard promotion without the position fields or as a second scenario a custom promotion section which will be followed by massive imports in EC?

here is the reply, they think it would work. Yes consulting wise it is preferable to have an admin take care of updating the Positions with one of the solution you propose.

we are facing a new issue with the Promotion Standard functionality since yesterday.

When we tried to insert a new job classification through the promotion link, after we pressed on Save, the system gave us this pop-up error:

Next, we tried to reopen the form, bot the promotion link dissappeared. Now we are no longer able to view the Promotion link with the three dots. 

Can you please give us any ideas on how to examine this further?

We already contacted SAP Support but we need to report this as a general issue. After following all the steps of this post solution, the system does not display the link in the form. We also tried to duplicate the plan to see if it was a template issue but again, the system is not responding.
