 Introduction:

I would like to share my wonderful experience towards the “Global Employee Benefits” to the Beginners of Employee Central Consultant who has passionate on the Benefits Topic.

Most of them will not get the opportunity to know about the Benefits Topic/Product Features and they will not be in the comfortable zone to discuss the features in the Implementation Project > Specifically in the Fit to Standard Workshop.

The idea here is to enable the Consultant to know the basic overview of the “Benefit” topic and start discussing the same with Customer (in the Project to make use of this module and provide the extended user experience).

It is highly recommended to suggest the Customer to use the SAP SuccessFactors Best Practices and Approaches to strengthen the HR Process in the Organization.

The following are the Benefit Types in SuccessFactors.

  1. Allowance
  2. Reimbursement
  3. Pension/Savings/Retirement Plan
  4. Insurance
  5. Wallet
  6. Deductible Allowance
  7. Savings Plan
  8. Others

Most of the countries extensively can use the “Reimbursement/Claim and Insurance Types since it has the features to automate End-to-End Business Process for the customers.

As a beginner, you must talk about the benefits module and how this can be helpful for the HR Business Process, how they can strengthen HR Process and automate the claim process with end-to-end process without manual intervention.

Let us start with the easy one (Reimbursement Benefit Type), How to Configure the Business Process, How to Configure the Simple Business Rule and Enable the Role Based Permissions.

Business Requirements:

Our customer is having the following requirements / cases.

  • Air Ticket Reimbursement (this is used as a Sample Cases to share the look and feel of the configurations and understand the configurations steps)
  • 2 Level of Approval Process (Workflow)
  • Restriction or Validations by Using the Business Rule
  • Custom UI Screen High level Screen Shot
  • User Experience

Here, we are going to see the step-by-step configuration process and how to enable this functionality to Business User and Employees (Including the Workflow and Business Rules)

Section 1: Workflow and Business Rule Configuration

Note: You can add the validations based on the business needs. Here I have restricted with claim ID.

Note: There are two level of approvals been configured, this needs to be deployed into the benefits object (Under Validate and Save Rules respectively) as per the below screen shots.

Section 2: Step-by-Step Configuration Process

Goto > Benefit Admin Overview

Step 1 & Step 2 Specify the Benefit Type and General Information’s

Select the Benefit Type from the Dropdown Value (Reimbursement)

Enter the General Information’s as above Benefit ID, Name, and Effective from Date and Choose the Relevant Currency to display in the claim)

In Eligibility Criteria, always the entitlement amount should be -1.

In Payroll Integration Choose from the Dropdown Values (Integration with Payroll or Benefits)

Step 3: Associate the Legal Entities

Here, you have to choose and associate the listed Legal Entity which are eligible for this reimbursement.

If there more legal entities, but only few of them are eligible to claim this process, in this case you have to choose the relevant legal entities from the list. So that it will be showed only those entities employees.

Step 4: Specify Enrollment and Claim Dates

Create the Benefit Schedule, Select the Frequency from the Dropdown Values and Days Remaining to Claim into Show.

Step 5 & 6: Define Enrollment Details & Add Useful Contacts

Choose, whether enrolment required or now, here we let us use no required.

Choose the Contact Person from the List (or create it by adding.

Step 7: Hyperlinks and Policy Documents

The below steps will be very useful the end user to view the Policy Documents, Links, URL etc. towards the reimbursements (you can add the policy documents based on the different reimbursement)

Step: 8 & 9 Specify Claim / Reimbursement Details (if Benefit Type is Reimbursement)

Here, you need to choose the Claim Screen ID (Standard), if you have configured any custom UI, please select the UI to display into Users.

Note: There are some customers, might ask for more fields in the claim screen and wants to validate or add etc. so you have to ensure the new fields in the object level and create the UI accordingly and specify the respective claim screen ID as highlighted above.

In Benefit Payment Options, Choose the Pay Component which needs to be aligned for the Reimbursement, Choose the Payment Mode (Payroll), Ensure the Default into Yes.

Step 10: Other Options

There are below exception options towards the benefit for exceeded amount and approval exceptions, let us not look it now and go without selections.

Configurations Steps are completed now, and you must enable the Role Based Permission to provide access to the Employees, and Approvers respectively.
