One of the most anticipated enhancements in SAP SuccessFactors Onboarding is the ability to automatically initiate onboarding directly from the Recruiting module, eliminating manual steps and ensuring a seamless transition for new hires.

With this automation, organizations can now reduce recruiter effort, minimize delays, and improve the overall hiring-to-onboarding experience. Let’s explore how this feature works, its configuration, and the benefits it brings to your onboarding process.

Why Automate Onboarding Initiation?

Traditionally, onboarding initiation in SuccessFactors required recruiters to manually trigger the onboarding process after a candidate accepted the offer. This manual action often caused:

  • Delays in starting pre-boarding activities
  • Missed onboarding initiations
  • Increased administrative workload
  • Risk of data inconsistency between Recruiting and Onboarding

With Automatic Onboarding Initiation, the system handles this process based on predefined rules and conditions, allowing recruiters and HR teams to focus more on engaging with candidates rather than managing system actions.

How It Works

Once configured, SuccessFactors Recruiting automatically triggers onboarding for a candidate when certain conditions are met — typically when:

  • The candidate accepts the offer, and
  • The application status moves to a specific status (e.g., “Offer Accepted” or “Ready to Hire”).

The system then:

  • Validates the candidate data against the Onboarding eligibility rules.
  • Automatically creates the New Hire record in Onboarding, and
  • Sends relevant notifications to onboarding participants (recruiters, hiring managers, or onboarding administrators).

This ensures that the onboarding process begins immediately — without requiring manual initiation

Configuration Steps

1. Prerequisites

Before enabling automation, ensure that:

  • The New Applicant Management Experience must be enabled at all times for the Enable Automatic Initiation for Onboarding option to be displayed on the Onboarding Integration Setup page.
  • Recruiting and Onboarding integration is properly configured.
  • All required data fields are mapped between Recruiting and Onboarding.
2. Enable the Feature in Admin Center

Admin Center → Onboarding Integration Setup→ Automatically Initiate Onboarding

Here, you can:

- Enable automatic initiation globally or per requisition template.

- Specify which application status should trigger the onboarding initiation.

3. Define Business Rules

As an administrator, you can now select a new option called Enable Automatic Initiation for Onboarding from the Onboarding Integration Setup page and configure the Trigger Automatic Initiation of Onboarding business rule scenario to define the eligibility for onboarding initiation.

This rule is executed as soon as the status of the candidate moves to the Ready to Hire status, specifically after the offer is approved.

4. Assigning Automatic Onboarding Initiation Rule to a Template

You're now ready to go to Admin Center>Manage Rules in Recruiting to associate your newly created rule with a Recruiting template.

5. Test the Process
  • Create a test requisition and hire a candidate.
  • Move the candidate to the “Ready to Hire and Initiate Onboarding” status.
  • Verify that onboarding is automatically initiated without manual action.

I'm facing an issue while creating a business rule to trigger the automatic initiation of the onboarding Job Applicant template. I'm unable to find the "Status" field when setting up the business rule. What should I do? Could you please help?

Hi Sachine, 
thank you for the detailed article ! I'm facing issue while building the business rule. I am able to select ''job application template.status'' in the variable but in the is equal to value list, not all applicant status are listed.... i.e.  ''Ready to Hire'' status is missing : what could be the issue ?

Hello everyone,

I was able to set up this business rule without any issues.

When configuring the rule, please select the 'status' field from the Job Application template and use the appropriate status value as defined in your system.

Please ensure that the 'status' field exists in each Job Application template. I recommend reviewing the template to confirm this.
