Multilingual Maintenance of G/L Account Texts in SAP Public Cloud

Dear SAP Cloud Experts,

I have recently uploaded approximately 900 G/L accounts by copying from a reference G/L account using the new feature available in the app F0763B – Manage Operating Chart of Accounts, specifically through the Expert Worklist functionality.

As my logon language during this process was English, the descriptions were maintained only in EN. I initially assumed this would not pose a problem, as I intended to maintain the German (DE) and French (FR) texts later using the Renumbering Process.

However, I encountered an issue when attempting to do so via the app F3026 – Renumber G/L Accounts. The system throws the following error:

“Delivered ID and language combination not found in G/L account master data.”

This restriction is significantly impacting our efficiency. This is my second project within the SAP S/4HANA Public Cloud environment, and I must highlight that the current G/L account maintenance process is considerably more complex and time-consuming compared to the On-Premise version.

I would appreciate your guidance on how to resolve this issue and your recommendations for best practices in such scenarios.

Hi again, I could n't upload a pdf or docx document, but you can find below the steps : 1- Logon in FR language 2- Access the Manage Operating Chart of Accounts (F0763B) and activate the the Expert Worklist. 3- Download the Excel Template : Add the following datas : • g/l account, • Short description in FR • Long description in FR • Action column : “C” • Reference g/l account. 4- Upload the Excel Template 5- Warning message in the Log for all g/l accounts : (G/L account XXXXXXXX already exists in chart of accounts YCOA.) 6- No update on the worklist. 7- When I try to select the lines I got this : “The g/l accounts couldn’t be processed with worklist “

Since you uploaded all 900 G/L accounts while logged in with English, only the English descriptions got saved. Now, when you're trying to add German and French texts through the Renumber G/L Accounts app, the system throws that error because those language entries simply don’t exist yet. That app can only edit or renumber things that are already there, it can’t create new language entries.

What you should do instead:

1. Log in in German (DE).

2. Open the Manage Operating Chart of Accounts app (F0763B).

3. Use the Expert Worklist again — upload the same accounts, but this time only include:

• G/L account number
• The short and long texts in German
  (No need to include all the technical data again)

4. Repeat the same steps for French (FR) just switch your logon language to French.

SAP will just add the missing descriptions for those languages it won’t touch the English ones.

Tips for the Future:

• Uploading all languages? Do it in steps, switching your logon language each time.
• Don’t use the Renumber app for text maintenance — it's really just for ID renumbering and assumes the language texts already exist.
• Keep a spreadsheet with all G/L accounts and their texts in different languages — super helpful across projects.

Dear Jeremy, Thank you very much for your prompt response. I have followed the steps you recommended. Unfortunately, during the upload of the Excel file for the 900 G/L accounts, I received the following error message for each entry: “Le compte général XXXXXXXX existe déjà dans le plan comptable YCOA.” Translated to English: “G/L account XXXXXXXX already exists in chart of accounts YCOA.” I would appreciate your guidance on whether I might be missing a step or if there is an alternative approach to update the language-specific texts without encountering this conflict.
