Budget Carryforward for PO closure only - Fund Management

Dear Experts;

We are carrying forward certain PR/ POs from previous year to current year in order to close those PR/ POs. Now when we carry forward those PR/ POs, they carry with them the open amount and increases the current year actual spend along with the budget in the said combination.

As soon as the PR/PO is closed, the consumed amount gets reduced but the budget which has been carried forward is made available in the said combination of FC and CI this enabling the users to use that budget.

Example: PR #1234 was carried forward from Year 2021 to Year 2022 with amount of USD 100 in Commitment Item CCC and Fund Center AAAA. The budget already allowed in the said combination for 2022 was USD 50. Following the PR carry forward activity, budget got increased to 150 (100 of Year 2021 and 50 of Year 2022) with spent showing as USD 100 (for the PR which has been carried forward).

Once the PR is closed, the spent of USD 100 gets reversed but the budget remains at USD 150 for Year 2022.

We don't want this budget to be made available because this was never approved to be used.

Hi,

Please, refer to my answer in another thread. In addition, I don't understand why you have to carry-forward your commitments, if you are going to close them. More correct procedure would be to close them in the previous year.

Thank you for your response.

There are certain PRs/POs which belong to previous years and are being closed in the current year. The users are unable to close those POs as they are getting error, "Automatic carryforward in only allowed for amount 0", "Document Item 10000000/001 has not yet been carried forward" (Message no FI228).

Would appreciate if you could guide if there is a way to close those PR/POs without carrying them forward.

Conventionally wise, it would be too late. If you are in the new FM fiscal year, the system will require CF.

Yes and that is the reason that the POs require closure for cleansing purpose because they are appearing to have open amounts.

Hence once i carry them forward, the POs carry forward their budget and the consumed amount with them, but as soon as the user closes the PR/PO, the consumed amount disappears and leaves the amount as available budget for the user to consume.

Yes, as I told this is a normal behaviour. You can either not to carry-forward the budget, if you know for sure that you will de-commit those POs or to reduce the available budget after the de-commitment. There are other ways to make this 'released' budget unavailable for consumption, but these methods presume predefined logic in the system based on attributes of FM dimensions.
