Substitution - Productive Time

Hi SAP experts,

I wonder if someone here has already encountered the following issue on the substitution functionality in ByD.

• The substitution is not working for any "Productive Time" entry that is not assigned to any project. However, it is working as expected for all leave requests.

I found the following SAP KBA while searching for this case; however, there is no comment on that.

I wonder if anyone has already faced this situation or knows if there is any ByD restriction on the substitution.

Hi SAP community,

I would like to share the conclusion of this case after my conversation with SAP support:

• The substitution in ByD only works for "leave requests" or "projects".
• It does not work for "productive time" not assigned to projects.

Hello Pedro,

The substitution under the Application and User Management - Substitutions should work in case of Time Recording if it is not working as epected please raise an incidnet.

Please accept my apologies for the mishap in response

If time recordings are assigned to a project, the system looks for project level substitution.

If the project responsible is assigned a substitute, the time records will be sent to him.

Hi Sahalya,

The project's substitution is working as expected. However, the case above is not associated with a project. Here is the summary of this case:

1 - The user adds a new row where he/she defines only the activity (time type), defines the duration, and comments on this time entry (but not the project task). This entry is directed to the employee's manager.

- This functionality is also working as expected.

2 - I am creating a substitution under the Application and User Management - Substitutions, and the substitution is not working for the above time entries.

The substitution works where there is an approval process is in place.
Could you please elaborate on this query "The substitution is not working for any "Productive Time" entry that is not assigned to any project".

Hi Sahalya,

Here is what I was referencing as a “Productive Time” not assigned to a project:

1 - Configurations:

i. The time type category is defined as “Productive Time”

ii. This time type is available for all employee’s timesheets

iii. The Activate for Time Recording Services is selected

Example:

i and ii. Time Types – CA - CA0020 - Travel Time or CA0028 - Company Meeting

Employee’s timesheet

1 – Time entry associated with a project

Result: This time is going to the project responsible and their substitutes (on the project)

2 – Time entry not associated with a project

I selected “Add Row” and entered the time type under the activity.

Result: This time is going to the employee manager's approval; however, not to the substitution functionality even though both users have the same access:

3 – Leave Request

The substitution is working for any time recorded under New Leave Request.
