We are currently transitioning from another maintenance software to SAP PM to align with headquarters. I am still very green with SAP as I had zero experience with it before assuming maintenance manager duties. It has been a slow grind educating myself with no guidance. Alas, here we are:
My question is in regard to breakdown workflow. The shop floor doesn't really use the notification function when there is a malfunction. They scan a QRcode for maintenance requests and it populates a shared spreadsheet. Typically, the mechanics respond in minutes and start the work almost immediately. The workflow for SAP PM doesn't really seem to support that. In SAP world I believe it goes as such:
Shop floor experiences malfunction and creates notification.
Supervisor or planner responds to the breakdown and notes the work/tasks that need performed.
Planner/scheduler/supervisor converts the notification to an order and assigns the tasks/time/date etc. Also, assigns a mechanic.
Mechanic performs the work at the scheduled time, records their time, what they did, closes the order.
Planner/scheduler/supervisor technically completes the order with the actual times.
My hope is there is a workflow better for how the team I am on operates. There is very little oversight by me over the mechanics when they are working through the breakdowns. They are fairly autonomous in that aspect. It really gives us fits, because they set down and really do everything AFTER they've completed the repair. Including the notification. Any ideas on how to make SAP PM work for our process?
