S/4 Public cloud - Service - Ship spare part for a service order

Dear experts,

I have a question : in the service module, in service order object. Before the technician will go on customer site to execute the service order, we need to ship some spare parts to the customer, the technician cannot bring it with him because to heavy, big... for different reason.

I was able to do it on private cloud thanks to the item category (same process as a sales item but the origin event is the service order).

How this process is managed in SAP Service public cloud : from a service point of view, and logistics point of view ? Or what is the workaround ?

Thanks a lot,

Hello,

In SAP S/4HANA Cloud Public Edition, the process of shipping spare parts to a customer as part of a service order involves integration between service order management and logistics. Here Serial number management using Cloud Warehouse Man… - SAP Community is a comprehensive overview:

Service Order Management Process

  1. Adding Spare Parts to Service Order:

    • When you add a service part defined as a stock material to a service order, the system checks the availability in the default storage location assigned to the plant.
  2. Automatic Reservation:

    • You can configure when the system makes reservations for stock service part items based on the lifecycle status Service - Logistics Integration in the service transaction. This helps ensure that the necessary spare parts are reserved for the order.
  3. Assigning Employees:

    • If the service order is assigned to a technician with a specific storage location, the logistics process must ensure stock is transferred to this location using the ‘Transfer Stock’ app.

Logistics Integration Process

  1. Shipping Spare Parts to Customer:

    • Spare parts can be shipped following a similar process as in the sales module by leveraging stock transport orders (STOs).
    • The STO approach involves creating an order that facilitates inventory checks, spare part reservations, and transfer from the main storage to another storage location if needed.
  2. Using Configuration Activities:

    • Define lifecycle statuses and storage location assignments using SAP’s configuration activities to manage item categories and logistics transactions effectively.
  3. Item Categories:

    • Various item categories can be used, including ‘SVR1’ for stock service parts which ensure parts are managed as inventory items throughout the service process.

Workaround for Spare Parts That Cannot Be Carried

  • Transfer Stocks: Logistics could use ‘Transfer Stock’ processes to move spare parts directly from storage to the customer’s location.
  • Shipment Address: The service parts can be shipped to a different address if specified under assignment blocks like ‘Service Part Recipient’, allowing flexibility in direct shipment.

These processes together ensure the effective integration of service orders with logistics, enabling seamless operations and customer satisfaction even for parts that are Service - Procurement of Non-Stock Service Parts bulky or heavy.
