Dear Experts

My client requirement is:

Production department will create a breakdown notification with basic details. after that maintenance engineer will maintain the why why analysis. Then it will be saved. After that Section head will approve the why-why analysis. then after his approval the HOD will approve it. then only the notification will be completed. If any changes in Why-why HOD will be sent back for change. How to map this in SAP.

I do not feel any difficulty in the process. Assume you are doing 5Y analysis and RCA etc using Catalogs and Codes as explained here in this document.,  then in case someone in the line returns, you can change the texts written in the catalog & codes. If your query is about the work-flow, then you can achieve this as well with tcode OIBS (User status profile), as explained by .  You can have options like Approved, Returned etc etc.

For approval of notification at different levels you can go for user status for notification by following the below path
SPRO --> Plant maintenance and Customer Service --> Maintenance and Service Processing --> Maintenance and Service Notifications --> Notification Processing --> User status for Notifications --> Define Status Profile

Here first define user status profile in "Define User Status Profile for Notifications" and then assign the profile to notification types in "Assign User Status to Notification Types"

Greetings Ramesh,

If you'd like to use the User Status:

Go to t-code OIBS

Create a new Status Profile such as this:

Status Number, Lo and Hi control which status can transition into which other status. In this example, you can only go from ATBD to next status, from APEN back as well as forward, from AREJ only go back, and from AAPR you can't revert to an earlier status.

Click on "Object Types" and select "Maintenance Notification" (do not mistake for "Notification").

Then go into details of every status from 10 to 30 and add "Forbidden" for the Complete Notification transaction.

This will prevent the Notification from being completed until it's got Status 40 AAPR

N.B. Using the Authorization Code, you amy restrict the authorization to set the statuses to Maintenance Engineers and Section Heads respectively.  Go to the menu "Environment" > "Authorization Key" to create the new entry. You will also need your R&A or SAP Security analysts to input those values to the correct roles (the Authorization Object to give authorizations for those Authorization Keys is B_USERSTAT, also check B_USERST_T)

Finally, go to SPRO > Plant Maintenance and Customer Service > Maintenance and Service Processing > Maintenance and Service Notifications > Overview of Notification Type > Notification Type > Status Profile

and assign the Status profile for Notifications.

Hi , You can use tasks in notification to enter why-why analysis and get them completed  by respective person . You cant close notification if outstanding tasks exist.

Use workflow or automatic user status setting to indicate the sent back change.
