Hi,
We are currently using SAP S/4 HANA Cloud 2308.
When we upload a PDF document to DMS, it's automatically checked-in, and it can then be linked to a maintenance order. When we attempt to print the maintenance order document, the PDF document from DMS is selected for printing. This process works smoothly without any issues.
However, when we store a PDF document on our SharePoint and add it as a URL link in the 'Manage Document', it doesn't get checked-in. An error message appears, stating that we are unable to check-in, and it directs us to SAP Note 3083338 (3083338 - Webgui FSM: What to do when getting popup with "path contains forbidden characters". - SAP...)
This issue is problematic for us because the document saved in the SharePoint link isn't picked when we select the maintenance order document for printing.
We haven't encountered any problems when printing maintenance order and associated DMS documents that are checked-in. We believe the system only considers printing checked-in documents. However, in our case, the document saved as SharePoint link doesn't Check-in.
We are currently seeking a solution on how to print maintenance order documents along with the documents saved on our SharePoint. Any guidance or available solutions would be greatly appreciated.

this is currently not supported in SAP S/4HANA Cloud, public edition.
In S/4HANA Cloud, public edition, external documents can only be referenced via URL in the attachment service. There is no API access to the external documents. While we are considering a UI integration for external document management systems for the roadmap, an API integration is not planned yet.
For output control, there is the paradigm that the attachments, which will be printed together with the print form, should be stored in the attachment service for later reference (to retrieve the information, which attachment content has been printed together with the output item).
Having said that, there is no roadmap item yet for such customer requirement. The requirement can be raised via the following customer influence campaign: https://influence.sap.com/sap/ino/#/campaign/1177

Thank you for your response regarding SAP S/4HANA Cloud, public edition's current capabilities for external document management and API integration. While it's disappointing that this feature is not on the roadmap yet, we appreciate your suggestion to raise our requirement through the customer influence campaign. We'll consider this option for future improvements.

Dear all, just for information there is a solution on the market that supports that exact requirement and more (it also allows mass retrieval, merge to pdf and printing, etc.), named yac work pack manager. Note that this solution is an ABAP addon, so it works on SAP ERP, SAP S/4HANA on premise and private cloud, but not on S/4 public cloud (as no external addons can be added on public cloud from what I know).

Wondering if you have had any progress on this please? I have the same situation for a client I am currently working for, SharePoint is their dedicated DMS and these attachments wont print and although WO printing is not a preferred option, it still needs to be available as a backup.
