G/l accounts not available in dropdown lists

Hi,

We'd have 2 questions regarding g/l accounts' availability in dropdown lists:

1. We are trying to do a manual posting of a fixed asset's acquisition but the g/l account (fixed asset) that needs to be used is not available in the dropdown list. We have reviewed the account's mapping and it looks complete. What could explain it ? It seems like we don't have any fixed asset accounts available in the dropdown list.

2. The tax g/l account (input tax) that has to be used in a payment allocation isn't available in the dropdown list : in the list I can only see fixed assets, other assets, other liabilities, revenues or gains and costs or expenses accounts. We have reviewed the account's mapping and it looks complete. What could explain it ?

Are there other criteria besides the mapping that make a g/l account available or not in those objects ?

Dear Solveig,

this help document Manual Postings in Fixed Assets explains in detail how manual postings can be created for fixed assets.

In the payment allocation you just need to select the right tax code, see screenshot. Based on the tax code the tax amount will be calculated and posted to the correct g/l account automatically.

Thank you for your answer.

No matter which tax code I enter, there is no g/l account automatically selected. Does it mean we have incomplete mapping ? Plus, we are trying to create this payment allocation for a VAT return so I'm assuming there shouldn't be any tax code...but I'm no accountant.

Regarding the manual posting in fixed assets, I unfortunately did not find any answer in the help document you shared...

Hi Solveig,

tax is a subledger in SAP Business ByDesign. Therefore, it is not necessary to specify the g/l account in the operational business transaction payment allocation. The journal entries for operational business transactions are generated automatically and posted to the proper g/l accounts based on the account determination (see screenshot). For more information, please read Define Account Determination for Each Subledger, Input Tax Entries (Account Determination) and Charts of Accounts, Financial Reporting Structures, Account Determination – Configuration Guide.

If you want to allocate the payment to the tax authority in the payment allocation, you need to select the business partner for the tax authority and allocate the payment to tax payables or receivables, see screenshot.
