Equipment Transfer between plants (With General Task list +Maintenance Items +Material +BOM )

Hi SAP Gurus ,

We are spending heaps of time in our equipment (eg Truck) Movement/ transfer  process  between plants. Is there a better and quicker way of doing this process, as we do 25 equipment transfers per day.

Note : For our construction business, the equipment ( Truck)  will be Moved / transferred to Plant 1000 or Plant 2000 based on requirement may be for 5 months or 6 months each .

We are now looking for a quicker way to complete the process

Option 1 : Have a ABAP development which does all the steps shown below .

Option 2 : Have General Task list ,Material BOM created for both plant 1000 and plant 2000 .So this reduces or time when Equipment is transferred between plants.

Option 3 : Have Equipment task list and Equipment BOM created for each equipment .We have 3500 equipment . This may reduce time but would increase the data  volume .

Option 4 : Transaction IE4N will only help in step 1 ,

Standard SAP process  that we follow for Equipment Transfer (eg Trucks) from Maintenance Plant 1000 to Maintenance Plant 2000:

Step 1: IE02 : In the equipment master we change the  Func Location and Maintenance Plants (from plant 1000 to plant 2000 ) .

Step 2 : IA06: General Task List associated with equipment  is updated by copying the counter and maintenance package from plant 1000 to plant 2000

Step 3 : IP05: Maintenance Items associated with equipment  are updated with new plant 2000 .( Plant 2000 is updated as  Planning plant , WorkCentre plant ,Planner group etc)

Step 4 : The Material and BOM are updated with new plant 2000.

Step 5 : Update  the maintenance Plans with a new plant 2000 and reschedule the plan

Kindly suggest if you have come across a better and quicker solution which can be done in 1 or 2 steps .

In construction business, if you PS system in SAP, you can create WBS element. You can assign the equipment to WBS element. You can have only one plant which will avoid all the 5 steps which you mentioned above.

Here my question is: What is logic behind in creating different plants?? Apart from project location, do you have any other differentiation??

Thank you for the quick response .

SAP PS is not implemented in our company and currently we are not considering implementing SAP PS.

Since SAP PM implementation was done 8 years back , the sap consultant who implemented made a decision to have Project sites as Plants.There is no other differentiation .There is nothing which we can do currently regarding the existing process designed.

Note the work at each site goes about for 3 to 5 years .

What best approach can be adopted from the options which I have mentioned in my above post .

Will a ABAP development automate the above 5 steps , if yes then what can be Pros and Cons.

There are 2 possibilities.

1. Centralized Planning (Planning plant is common for all the Maintenance plants)

In that case, Task list & Maintenance plan can be used as it is because work center, BoM & Maintenance plan can be refered to Planning plant.

2. De-Centralized Planning

Here, All the Master data like Material, BoM, Work Center, Task list & Maintenance Plan should be created newly. For all the Master data, BDC program should be written to create a new one by making the existing in to Inactive. When you reverse the equipment from 2000 to 1000, you have to make 2000 data Inactive & 1000 data as Active.

You can create Work center, Material, BoM, Task list with reference to existing one. So you have to do recording as per that & code the BDC. Maintenance plan should be created newly by referring the newly created details. You can keep the Equipment number as reference field to copy from the reference.

You may develop your own logic to write the coding & create the new one or change the alternative data.

Hi Maheswaran,

Currently we have a de centralised planning.

Maintenance plant 1000 = Planning plant 1000 and Maintenance plant 2000 = Planning plant 2000.

I have 2900 equipment s and 60 Planning Plants and 60 Maintenance plants

Couple of questions regarding your suggested answer


  1. So the best way suggested is to copy  Master data and extend to new plant  2000 or plant 3000 using BDC
  2. Regarding making the Data of OLD plant 1000 inactive : If I make the existing Old plant1000 master data inactive then this will impact the Maintenance Orders already created for  this equipment (earlier associated with Plant 1000 )with REL status.
  3. What If 1: I create this General Task list for all Major  plants (15 major plants out of 60 plants) and extend BOM and materials for all the major plants where this equipment truck can be transferred. Once I have these task list in all planning plants , then I can only change the planning plant in maintenance plan and install the relevant task list (Pros/Cons)
  4. What If 2:  I Create Equipment specific data like  Equipment Task list (Instead of general task list), Equipment BOM (instead of Material BOM) specific  for Truck 1(each equipment ). This may increase the data volume and data maintenance but is it worth.(Pros/Cons)

2) By the time, you transfer the equipment from 1000 to 2000, how the old order will exist with plant 1000?? Even planned orders which are created or released, you should not be executed under old plant as it is being moved to new plant.

3 & 4) If you create General task list, how you will know which task list to be activated??? Meanwhile, you should deactivate other task lists from the use. If you go with Equipment task list, with reference to equipment number & plant change, you can activate one task list and dectivate remaining. Having Equipment BoM is optional as you can assign components directly either in task list or in order.
