Hello,
I am trying to run the OBR2 transaction to delete GL accounts in a test client. Is it possible to delete accounts at the client level (SKA1) even if there are accounts already extended to the CoCd level (SKB1)? Or do you have to start at the lowest level and then systematically work your way up to SKA1 after deleting SKB1 first? I'm also assuming that you cannot run the deletion program without having run OBR1 as well to delete transactional postings, correct?
Request clarification before answering.
Hi
You cannot physically delete the master record of a G/L account from the system without first
carrying out certain preparatory steps. First, the system must check whether the master record
can be deleted. Initially, you can only mark a master record for deletion.
You can do this at two levels:
- If you want to delete a master record for all company codes, you must mark it for deletion in
the chart of accounts. If you specify that the entry be archived, this is also deleted from the
chart of accounts. The prerequisite for this is that no master records in the company codes
are dependent on this record.
- If you want to delete a master record in one or several company code(s) only, you must mark
it for deletion in the company code area of the master record.
To physically delete the master record, you must call up a special program. This first checks
whether the marked master records can be deleted. The prerequisite is that there are no longer
any transaction figures stored for this master record. Even transaction figures from previous fiscal
years that have not yet been archived prevent deletion. Records that can be deleted are archived
and deleted from the system. The program prints out a list of any master records that it was not
able to delete.
You should block an account for posting before you mark it for deletion. The only
effect this deletion indicator has is to cause a warning to be displayed every time you
subsequently try to post to this account.
To mark a G/L account master record for deletion, proceed as follows from the general ledger menu:
1. Select Master records ---> Mark for deletion.
2. Enter the G/L account number and company code, and press ENTER.
If you set the Mark for deletion indicator in the Status in chart of accounts section, the
system deletes the G/L account master record in all company codes that use this chart of accounts.
If you set the Mark for deletion indicator in the Status in company code section, the
system deletes the G/L account master record in the company code that is listed in the top section of the screen.
3. Choose G/L account ---> Save to delete this G/L account master record.
You can set or remove this indicator at anytime, as long as the master record has not been physically deleted.
You can only delete an account group is no G/L account master records exist for this
account group. Otherwise, you cannot display or change the G/L accounts.
G/L account master records: Delete, that is, mark for deletion

Hari,
I am interested in this special program as we have a lot of GL accounts that never had any activity. When we review the number of GL accounts it appears as though we have more than we ever need. I think when we went live the team uploaded every conceiveable GL account that came loaded with SAP. All are presently marked for deletion. Now we want to remove them from appearing in the GL account listings. I appreciate your assistance with walking me through this.

Mark

Hi Hari,
Just think if you have used that G/L account in any of the posted document and if you delete the G/L Account Master Data, there won't be any properties left of such G/L account in that posted document. It is suggested you flag it as Marked as Deletion so no posting would be made on that particular G/L Account.

Nayab
