Can we make changes to the released appraisal template?

Hello All,

       We have implemented Pre-defined performance management for one of our customers. The template is rolled out and appraisal document is already created and in use.

       We will need to enable workflow notifications and enable detailed logging in PHAP_CATALOG. Can we change the catalog and transport the changes to production when the document is already in use?

       Kindly guide us.

Hi,

SAP says:

After a template has been released, it cannot be changed unless the status is reset . However, you can only reset the status if no appraisal documents have been created in the system that are based on this appraisal template. Otherwise, the references between the individual appraisal elements are destroyed.

In my experience it is possible to make changes to the appraisal template already used in production but you need to be very careful only to do this for really minor changes. Safest way to go about it is to create a new appraisal template to avoid transportation issues, or, inconsistencies between the existing template and the changed template.

                        Thanks for the response.

If we don't have any appraisal document in Dev system, we can still go ahead and reset the template and make necessary modifications and release them again and transport it to prod.

What we are not clear here is if it will potentially cause any loss of data or have any kind of impact on the current functionality other than the changes performed.

We are mainly targeting on enabling detailed logging and removing the last phase from the process flow as it doesn't seem to be relevant for the process.

If we choose to create a new template, how can we migrate the appraisal document from old to the new template?

Hi Sakthi,

If you migrate to a new template there are several things to consider.

What comes to mind:

  • Where is the template currently used? (And where is the creation of the documents triggered)
    • example: existing relationships with LSO course types (object D), master data changes may be needed (linking with new template).
    • example: is the object-ID of the current appraisal templates used as a parameter in batch-jobs which automatically prepare the documents (this is a custom development I have encountered at certain customers), these jobs would have to be reconsidered
  • How will we transition to the new template?
    • best case seems that the old templates are all in status completed, before the new template is put to use in production.
  • ...

My experience was an existing template (in productive use) in which we added additional header data (with extra information) and set one of the questions to hidden.

In this case we didn't need to create a new template which has the advantage that you can keep using the same template (with the same object-ID's and history of documents).
