Calibration for Lab Equipment & Tracking at Equipment / Serial number level Process

HI,

In one of the requirement is - example : Vernier used in lab will be sent out for calibration and results will be recorded at vendor end.

While in-warding the Vernier this shall be updated along with GRN process.

Kindly let know some insights on this process, as normal calibration process in house inspection lot is generated but requirement is in form of the tracking at equipment level.

Could you explain a bit more the aspect you are finding challenging?

My response is based on what I understood from above.

  • The Vernier caliper has to be maintained as equipment (PRT) with a different category(Q).
  • Since you mentioned GRN process, the equipment must be already serialized too. Check with the business if they want to capture costs for the external calibration against maintenance orders. If they say yes it means you have to map the subcontracting process against the maintenance order.
  • Take the help of MM consultant to set up the subcontracting process.
  • You can enter the inspection against the order after the GR is done, manually, or by designing some upload programs.

  • PRT to calibration order trigger in case if maintained as Equipment is possible but how to map with GRN level as it is mapped at Material level ?
  • My query is that can the Equipment level tracking sent to vendor for calibration be tracked based on the scheduled cycle counting for expiry date for calibration ?
  • While making GRN - at Equipment level it is not possible so is that we need to have a material master for it?
  • Certificate of calibration to be attached while GRN of the particular Equipment [like vernier / fire extinguisher etc] need to be updated along with the inward.

Hi Vignesh,

Yes, you need to have a serialized material master for your equipment. This will allow you to ensure that you can do Goods movements against a specific piece of equipment(which is now a serialized material in MM too).

You can manage the above subcontracting process through the Calibration order itself - keep a separate operation & control key for this process in the tasklist in addition to the existing operation(s) meant for inspection.

Now with the above set-up, you can track the movement of the equipment. Coming to how you input the Inspection values - this needs to be discussed with your business ; whether manual or through an interface/custom program/user exit.

Need some more insights on below points.

Yes, you need to have a serialized material master for your equipment. This will allow you to ensure that you can do Goods movements against a specific piece of equipment(which is now a serialized material in MM too). - Material type for to be serialized material should be FHMI ? in that case Accouting & costing view will not be there how does system validate for 541 or other allied movements?

Hello Vignesh,

I'm not really sure about the material views to enabled for the external subcontracting process. Please have a word with your MM Consultant.

You can trigger the calibration order at regular intervals by creating a maintenance plan against this equipment.

One doubt in IP41 which option to be selected in this below.As I am thinking to create order using notification route.

Also in maintenance order when I select PM03 / PM02 control keys for external process it is shown with below error.

Hello Vignesh,

Do you want just the order or order+notifcation? If you want both then set up the corresponding configuration for Notification-Order integration in SPRO.

You can use PM02 control key for external services(& PM03 if you have service master and service entry shet involved). This however requires corresponding configuration in MM side too. Take the help of MM consultant to know the default values like material group.

Do you want just the order or order+notifcation? If you want both then set up the corresponding configuration for Notification-Order integration in SPRO. - Both ways I am checking based on user process mapping this may be need to be proposed.

When mapping this process in DEV Environment below are my observations.

  1. System allows us to map info record [created without a material] to be mapped in Task List.
  2. Material group is being pulled from the Info record that is created.
  3. When above two points are in place when we create order from IW21 system is able to fetch PM03 control key based Task list automatically.
  4. As Info record is created without a Material when the order is saved below message is shown by system.
  5. In case this config., is put in place think the cycle will be complete.[Yet to check this with MM person / explore the message]
