B1 Linking Orders with Purchase Orders and Notifications for Changes or Cancellations in PO

Hello everyone,

We are looking for a solution in SAP Business One to link orders to purchase orders after the fact. The standard process involves setting a checkmark in the "Logistics" tab of the relevant purchase order under "Procure non-stock items" to start the process.

However, we have another issue: When changes are made to the purchase order or when the entire purchase order is canceled, these changes are only visible in the order if you explicitly check the linking plan or the sales order. However, there is no way to get a notification in the purchase order itself when a change or cancellation occurs in the purchase order.

Is there any solution or workaround to ensure that such changes are directly reflected in the order with a notification?

We would appreciate any assistance or suggestions.

Thank you in advance!

Hi @Henry25 ,

Not sure if I got it correctly, but my understanding is that your SO triggers and links to a PO, and changes and/or cancellations should reflect upon each other. Correct?

There is no standard functionality that would automatically perform changes to a linked document. This might be doable via SDK, with logic and criteria well established.

But one thing you can potentially do while you don't have a "full solution" is to create an alert based on a query, which would send an internal message to specific users as long as such changes happen so that those users could proceed with the needful manually.

Good luck!

Felipe

I agree, the alert is a good solution.

Hello, Thank you for your response and for the clarification. Yes, you understood it correctly—our Sales Order triggers and links to a Purchase Order, and we need changes or cancellations to be reflected in both documents automatically. I appreciate your suggestion regarding the use of alerts based on a query. This could be a useful workaround while we don't have a complete solution in place. Could you possibly provide any documentation or further guidance on setting up these alerts via a query? It would be very helpful for us to proceed with this approach. Thanks again for your help! Best regards!

Hi @Henry25 ,

You can refer to the SAP Help Portal and get some guidance: Setting Up and Working with Alerts | SAP Help Portal.

A SAP Note related to this: 3373686 - Cannot run a $ query to retrieve data in Query Manager or Alert - SAP for Me

From the top of my mind, I can tell you:

  • Complex queries will not work. Try to play simple
  • First column cannot be NULL / Must always return a value

Good luck!
