Absence Quota deduction from Same Quota for Promotion of Employee

Dear Experts/Gurus,

I have stumbled upon a small logic and I really need your advice on this. It is about a leave type and its associated Quota. My client runs a custom report and is following absolute Negative Time. What this program does is that it updates the leave quota for a group of employees and the program runs every day.

But I am stuck with a logic which I am unable to decipher somehow. Below is My Scenario and Beginning Details.

Beginning Details:

PSG – 40 || ESG = 1 for Quotas and Absence Types and all other associated Tables.

Leave Type: UCL Leave

Quota Type: UCL Leave Quota

Scenario:

UCL is allocated to the staff (Clerks, Regular Support, Officers), and all of them are allocated 12 Days a Year, Carried forward to the next year through the custom program, which automatically fills up the relevant data as per the Employee Subgroup. The Validity period for the entry of leave is as follows:

  • 1.Clerks: They have the max validity period (31.12.9999) from the date of entry and through the program and then the program posts the eligible quota No 94 – UCL Leave Quota.
  • 2.Officers: They have the max validity period (Year + 3) from the date of entry and through the program and then the program posts the eligible Quota No 94 – UCL Leave Quota.

Requirement:

The requirement is that when the clerks get promoted to the position of Officers then the Previous Allocated Quota will be available and as per the officers even. And the Quota logic of officers would be deducted first and then the Clerks previously applied logic. The update should look something like this.

Now this quota deduction will be first from the Officers Level of 3 Years and then if exhausted then from the Previous clerk Level.

However for the Officers only this logic does not apply. For them only the Second Line of the Quota in the above picture is applicable. The First Quota would keep on getting accumulated as usual.

As far as I understood Clerk could be able to use remain quota when s/he promotes to Officer level. However you are giving a new amount of quota(94) to it which is valid for only 3 years which priority of deduction is the new one.

If this is the scenario, I recommend to have two different quota type type and assign them both to absence type by required priority. When someone is promoted to Officer, either system or manually you can add the second one into IT2006.

Dear Sir,

I have already presented this approach to the client but they rejected it as they are saying that the Officers and Clerks will have the same Grouping and in no circumstances this would be changed.

Below I am attaching a few screen shots of the Absence Quota, Deduction Rule, and the Counting Class. Please feel free to ask me if there is any more you require.

In that case we need to Work on Grouping Mostly ESG , Where clerks will have different Counting rule with different reduction rule sequence than Officers.Have 2 ESGs grouping of officers and Clerks.

For clerks , we check with groupings

Define New Counting rule - T556C

in Reduction Rule --- Maintain the sequence as per your Requirement - V_556R_B

and Ensure that this Grouping is not going to effect officers

First lets us test the above issue, Later we will go with other issues if we face any.
