With the beginning of 2023, we are happy to announce that the customers of SAP Business ByDesign wanting to work with the Robotic Process Automation functionality, will be provisioned with the newest version of the product named SAP Build Process Automation. The new functionality is released initially only to the customers who do not use intelligent robotic process automation for SAP Business ByDesign, yet.

NOTE: The evolution of Intelligent Automation for SAP Business ByDesign from SAP Intelligent Robotic Process Automation to SAP Build Process Automation results from aligning the product strategy around automating processes within organizations. It is important to mention however that the customers of SAP Business ByDesign, within regular subscription will only be able to benefit at no extra cost from the robotic process automation capability/licenses of the SAP Build Process Automation (which is similar with that provided by SAP Intelligent Robotic Process Automation) and will not include any of the additional licenses offered by SAP Build (see Additional license implication SAP Help for BPA). However, in case of interest in the entire functionality of SAP Build Process Automation or SAP Build overall, the customer should contact the SAP Partner for more information.

Below we will explain the 2 scenarios on how to get the SAP Build Process Automation provisioned for SAP Business ByDesign:

  • Scenario 1: for the customers who are not yet using Intelligent Automation for SAP Business ByDesign

  • Scenario 2: for the customers who are already using Intelligent Automation for SAP Business ByDesign and who don’t want to wait for the SAP-driven automatic upgrade planned for later, we are offering a manual upgrade procedure described in this blog. Please read the Note above on robotic process automation feature and capability parity offered at no extra cost for SAP Business ByDesign customers.


Scenario1: How to get a tenant provisioned for SAP Build Process Automation from SAP Business ByDesign:

  1. Go to the Business Configuration work center.

  2. Go to the Implementation Projects view.

  3. Select Project and click the Edit Project Scope button.

  4. Go to the Questions section.

  5. Expand Communication and Information Exchange -> Integration with External Applications and Solutions-> Integration Scenarios for Cloud Solutions from SAP

  6. Scope the question - Do you want to enable integration with SAP Build Process Automation (BPA)?

  7. Finish the scoping changes.



SAP Business ByDesign - editing project scope


In case the iRPA is provisioned for the tenant and the user will try to scope to SAP Build Process Automation as well, SAP Business ByDesign will display the following error message:


However, in case the user would like to move to SAP Build Process Automation manually before SAP provides an automated migration process to the market, the user should first:

  1. Descope iRPA (See KBA 3284300)

  2. Scope SAP Build Process Automation


Scenario 2: What to do to migrate manually from Intelligent Process Automation to SAP Build Process Automation:

First, you will need to descope from SAP Intelligent Robotic Process Automation. To do so, please follow these steps:

  1. Go to the Business Configuration work center.

  2. Go to the Implementation Projects view.

  3. Select Project and click the Edit Project Scope button.

  4. Go to the Questions section.

  5. Expand Communication and Information Exchange -> Integration with External Applications and Solutions-> Integration Scenarios for Cloud Solutions from SAP

  6. De-Scope the question - Do you want to enable integration with SAP Intelligent Robotic Process Automation?

  7. Finish the scoping changes.


Please note directly after descoping from iRPA, all agents, environments, bots, and trigger settings will not be available in SAP Build Process Automation; the user will need to set up the environment and the agents as well as to acquire and configure the bots manually again. You will not be able to access your iRPA tenant after descoping it.


Once you have been descoped, you may scope SAP Build Process Automation.

To do so, please follow these steps:

  1. Go to the Business Configuration work center.

  2. Go to the Implementation Projects view.

  3. Select Project and click the Edit Project Scope button.

  4. Go to the Questions section.

  5. Expand Communication and Information Exchange -> Integration with External Applications and Solutions-> Integration Scenarios for Cloud Solutions from SAP

  6. Scope the question - Do you want to enable integration with SAP Build Process Automation (BPA)?

  7. Finish the scoping changes.


When the  new BPA tenant has been provisioned, the administrator should:

  1. Assign user roles for BPA. We have introduced 2 new roles:

    1. BPA_Advence_User – which allows user to work with the SAP Build Process Automation and to manage available bots.

    2. BPA_Standard_User – which allows to connect the desktop agent to the BPA and run bots on a local machine.



  2. Review and adjust the communication arrangements, if necessary.


The bots that we have created over the last two years for SAP Business ByDesign and which are known to the community, will run the same way with SAP Build Process Automation as with Intelligent Robotic Process Automation for SAP Business ByDesign. The same should apply to other self-developed bots created by our partners and customers, however as always in the case of migration, additional testing is highly recommended.

As mentioned above, SAP is at present working on the automated upgrade to SAP Build Process Automation for the customers who are already using the intelligent robotic process automation for SAP Business One. We will share more information on that separately. 

We strongly believe that for the new customers interested in process automation this move will help to immediately jump to the newest technology provided by SAP and keep in line with the development of the latest bots from SAP.
